Responsibilities:

- Deal with emails to clients, contractors, and insurance companies.

- Deal with queries and complaints from clients, contractors, and insurance companies.

- Assist contractors with their reports and quotes.

- Loading new claims and appointing contractors to assist.

- Arranging with tenants outgoing times for inspection and arranging contractors.

- Send photographs etc., to Landlord & discuss maintenance needed

- Replace any inventory items if needed for the landlord and deduct from deposit of tenant

- Complete deposit refund sheets with all deductions as per lease & repairs/maintenance etc.

- Maintenance of properties.

- Check up on maintenance done on the landlord’s properties and take photos for landlord. Liaise with Body Corporate re problems/fines or updates of gate access etc.

- Email landlords and tenants for renewals and discuss way forward.

- Prepare all necessary paperwork and request necessary documents for tenants.

- Do credit checks on tenants and if problematic report to landlord.

- Invoicing tenant for new rental/renewal admin fee/top up deposits etc., on Pay prop.

- Chase outstanding rentals / utilities etc., with tenants.

- Advise landlords of late/outstanding payments and response of tenants re settling account.

- City of CT and Eskom accounts – sort out excessive usage with tenants and landlords.

- City of CT and Eskom accounts – queries on account call and investigate with City of CT and Eskom, and report back to landlord and tenant.

- City of CT and Eskom- call and get plumber out or council to check what the problem might be, and lodge complaints with the water department at City of CT.

- Sort out insurance claims on behalf of landlord with Body Corporate getting quotes to repair / replace where necessary and complete claim form to submit to Body Corporate. Properties not renewing, contact landlord and discuss way forward and new rental. Complete listing for agents.

- Reception duties when needed.
