Identifying & reviewing the Spares inventory requirement through Purchase Orders for Plant & Machinery Equipments such as Komatsu Wheel Loader, Caterpillar Wheel Loader, Doosan Wheel Loader, Volvo Wheel Loader, New Holland Skid Loader, MAN Truck, Terex Demag Mobile Crane etc.

The role and duties as followed,

i. Identification of all requirements in requisition for purchase like Equipment, Package & Bulk Items

(Mechanical, Piping, E&I), Consumables and CAPEX Items issued by Design Department, Project Engineers

& Intender in lieu with Company Policy & Procedure. ii. Circulating the RFQ’s with the necessary BOQ’s to Suppliers/Vendors. Searching for vendors for Long Lead Items (LLIs) and maintaining a vendors list after completion of pre-Qualification exercise. Evaluating vendor performance and sharing periodic feedback to the vendors on their performance in formal bid openings. iii. Receiving the Priced quotations (competitive quotes) from Suppliers. iv. Preparation of BID tabulation for Vendor comparison. v. Reiterate with designers and end users for finalization of quantity and quality. vi. Establishing the delivery terms, time and stages of inspection for the supply with Project Management Team. vii. Ensuring that all potential suppliers are provided with identical information upon which the quotations are given as equal opportunity to meet the desired requirements. viii. Maintaining the technical document package such as Technical datasheets, drawings, Material Safety Data Sheet (MSDS), catalogues, Chain of Custody (COC), Material Traceability (MTC), etc. against each material purchases.

ix. Negotiating the best payment terms and contract conditions, maintaining high level of integrity. x. Keeping accurate records to justify the process and any other related decisions made in this regard. xi. Plan, arrange and participate in the kick off and follow up meetings with suppliers. Also Encouraging the unsuccessful bidders for future bidding.

xii. Issuance of Purchase order to the selected Supplier. xiii. Expediting with supplier / manufacturer / Sub-Contractor/internal/external interfaces in relation of all the pre & post order activity including material expediting, documentation follow up and any other related matter regarding engineering and Quality requirements of the project. xiv. Coordinating with PMT / End User for technical approval, status update, arranging TPI (Third party inspector) etc.

xv. Review and approval of supplier documentations such as SMDL (Supplier Master Document List), ITP

(Inspection & Test Plan), Material Certificates, traceability report, various NDT reports, Weld Log, Dimensional reports, FAT reports, Manufacturing Record Book, Mechanical Completion etc. xvi. Advising Sub-contractors / Suppliers on procurement issues with respect to Purchase Order administration, Import/Export activities, Expediting, Export Packing, Transportation and Warehousing. xvii. Tracking and expediting of Shipment. Co-ordinating with Logistics Team for material shipment and local transport & with Stores for planning of deliveries for minimizing the inventory. xviii. Being aware of standards, regulations & required approvals for different kinds of cargo either shipped by air, sea or road. Follow up on the HS code of materials prior to purchase, negotiating factors with forwarders such as shipping options, rates, timelines, regulations affecting shipments etc. to effectively receive materials in a timely manner. Constantly follow up with different agent’s/ freight forwarders to maintain current knowledge of relevant legislation, political situations, or other factors that could affect freight shipping. xix. xx. Preparing the follow-up on the Storage and handling of materials on site, prior to use, during installation and commissioning and closure of any surplus/defective materials after the completion of the project. Client acceptance/rejection, warranties and other related follow up matters will be handled with the supplier till completion of Project.

xxii. Additionally, providing oversight of the spare parts (SPIR) related activities including obtaining the Required Spare Parts List (RSPL) data as per the Manufacturer / OEM manuals. xxiii. Co-ordinating with different parties (internal/external) in regards of close out of NCR/TQ, Shipping, Payments, and ensuring timely settlements of payments to all the vendors.
