Coordinating with all departments for accessible and proper documentation.

Ensuring that all design and engineering documentation is up to date and accurately distributed to relevant parties.

Maintaining a tracking facility to enable documents to be updated easily.

Using Company standard formats and numbering system.

Maintaining the Document Control Database for Quality Related Documents like Quality Control Plan, Procedures, ITP’s, ITR’s, Surveillances, NCRs, Pre-Qualifications, MAR, CAR, PAR and Test/Material/Warranty Certificates for project.

Maintaining the Document Control Database for As-Built/Red Marked/Shop Drawings/IFC and RFC Drawings, FCR (Field Change Request), DCR (Design Change Request) & DAS (Drawing Amendment Sheet for project.

Provides Administrative Support to ensure efficient operation of office.

Carries out administrative duties such as filing, typing, copying, binding, scanning etc. Page 1 of 3

Makes travel arrangements for senior staff such as booking flights, cars and hotel or restaurant reservations.

Update and maintain office policies and procedures.

Generating reports on daily, weekly and monthly.

Answers phone calls, schedules of meetings and support visitors.

Provide administrative and secretarial support to Engineers, Project Team and Management.

Coordinate with Site Manager and Construction Manager to provide the technical assistance, administrative and clerical support for smooth site operations.

Maintain and arrange the external and internal meetings and ensuring all relevant material is provided.

Responsible for monitoring the stationary inventory, supplier details and purchase orders.

Maintain and updated PO Order log, monitor the production schedule and status.

Preparing Material Test Certificate (3.1 & 3.2) as per Traveller or Purchase Order.

Generate New Cast Encoding as per Traveller or Purchase Order.

Preparing RFI for Inspection like Raw Material Inspection, Lab Inspection & Final Inspection.

Coordinate with Lab to collect the Test Coupon for Lab Testing.

Provide the Test Scope Details to Lab for Lab Testing.

Coordinate with Lab to arrange the Lab Testing Inspection Schedule to Client, Vendor and Third Party.

Coordinate with Third Party and Client to arrange the Gate Pass for Inspector for final inspection.

Preparing the PMI, LPI & UT Report as per Traveller or Purchase Order.

Collate, produce and submit the Final Inspection Documents to Third Party and Client.

To follow up with Third Party and Client for IRN and DRN against Inspection.

Coordinate with Inspectors to Calibrate the Inspection Instruments.

Responsible for maintaining the register of all Original Documents like Material Certificates and Calibration Certificates.
