Executive Assistant to President

·Manage multiple timezone calendars, arrange meetings, prepare agendas, actions items (pre- and post- meetings), heavy document production, and creation of presentations as well as reports.

·Assist CFO, COO, General Counsel, and VP of Finance as needed for meetings, agendas, reporting, travel, and expense submissions.

·Assists in all company production of documents pre and post close for our directors.

·Assisted Finance Department in our expense setup with Concur and Bamboo as well as Oracle requisitions for approval, input of employees information via Human Resources coordination, assist SVP Finance in obtaining company credit cards for all C-levels and maintaining records of expenditures and balance limits.

·Process all company documents needing executives’s signatures and coordinating originals, mailings for docs to get apostille, tracked, and logged using Microsoft Office Suite and Sharepoint.

·Maintain office supplies orders for remote workers on company corp card and coordinate with ICT on equipment and software needed for C level employees and onboarding of new C level executives.

·Coordinate and setup of all hands teams meetings and provide presentations using PowerPoint and excel .

·Participate in setting up systems for the company via ICT, Human Resource department, Engineering, Marketing.

· Solely responsible for legal documents with time sensitive turn around from President, Chief General Counsel and others as needed as well as notarization by me on over hundreds of documents. Tracked status of all documents.

Executive Assistant to President & CEO

·Extensive calendar management and arrange heavy travel (domestic and international) including itineraries, passport renewals, visa requirements and submissions, meeting agendas, document preparation and distribution for offices and meetings across the globe.

·Regular interaction with senior leadership team, direct reports to CEO/President, clients, investors, board members, and government officials with professionalism and confidentiality at all times.

·Manage key projects from beginning to end for annual holiday parties, leadership summit meetings and strategy sessions off-site, annual and quarterly kick-off meetings, sales kick-off planning and execution, marketing expos, and investor road shows. All planning for above includes quotes, location decisions, catering, negotiations, speakers, document production materials, and any other details required for communications across departments and attendees.

·Arrange annual, monthly, and quarterly board meetings including travel and itineraries, agenda preparation, document preparation, and board book distribution, conference room set up, catering, location for off-site meetings, hotel preparations and billing, and facilitation of timely agenda.

·Plan and execute contract negotiation and site visits in the Caribbean for annual president’s club trip for 140+ employees and all C-level executives. Work across divisions such as with marketing on awards and advertising of the event with the company for encouragement amongst employees. Planning of all events during the week and stayed on-site to manage day to day agendas. Coordinate all events and meetings with each winner as well as all communications, travel arrangements, passport renewals, and visa letters for attendees.

·Plan and execute monthly and annual extended leadership meetings for 75+ senior level employees including location of hotel, room blocks, and reservations, speaker arrangements and payments, invites, and communications to all attendees. Also arrange all break out meetings following the summit.

·Manage and track daily, weekly, and monthly super star company recognition program to ensure all 3000 employees are eligible to win at least once and work with marketing to get picture and bio on company intranet.

·Assist and coordinate on company monthly newsletter and all input across divisions and offices.

·Managed all hands meetings via video for over 3000 employees and in our company offices and remote across the globe.

·Responsible for expense submissions for CEO, senior leadership team, and handle President’s flex submissions, medical, and financial matters, rewards programs for hotels, airlines, rental cars, etc., and approvals for all purchase orders and requisitions.

·Manage all bank reconciliations, expense submissions, reporting, and all subscription renewals as well as CEO’s flex spending account, family doctor appointments and personal assistant projects as directed.

FUN FACT

Prior to returning to the workforce in 2014, I owned, operated, and managed three My Gym Children’s Fitness Center franchises and worked in all three for four years while raising my two children. We had the best grand opening in our third location, Leesburg, Virginia of all the 300 My Gym locations. I opened the third location in Leesburg, Virginia from getting the location, advertising, marketing, and getting the permits to open. It was a sold out opening for the third location with no spots left and many classes had wait lists for over a year. I maintained a high enrollment in each gym over the four years. I enjoyed being the manager of all the gyms and opening one of them from buildout to selling of it.
