Using a mail postage machine, for the appropriate postage due. Operate personal computer to enter production figures on a daily basis. Experience in using PC based mailing systems is preferred. Mailroom Clerk Job Description Sample, Duties, and Responsibilities:

The primary responsibilities of a mailroom clerk are receiving, sorting, and distribution of mails. Also entails keeping accurate record of the mail that I receives and distributes. I will ensure timely dissemination of letters. And after receiving or sending each mail would be to record the date of receipt and disbursement and name of the sender or receiver. This process helps in easy tracking of mails received and sent out.

After receiving mails and before disseminating them, the clerk is supposed to document mails in relevant files and sort them out according to locations or departments. Its also my responsibility as the mailroom clerk to deliver mails to individuals or departments within the organization. In addition, as the mailroom clerk working in an organization are expected to move around departments to collect mails to be sent to other departments or outside the organization.

My responsible for appending postage stamps to mails to be sent out to ensure free movement of such mails. Before this, is supposed to have weighed the mail or package so as to attach the appropriate amount of postage stamp to the package. To make sure that the mailroom never runs out of postage stamps, I am expected to inform whoever is in charge of procuring stamps in the company. In addition, the work description of the mailroom clerk also entails making sure that other materials such as envelopes, markers, tapes, and form stickers are always available.

I also must communicate with courier agents to facilitate the quick and easy movement of mails and packages when the need for their services arises. I also enter the checks, on to a spread sheet, and print it out then notified the department, that the checks has be lock up in the safe. I process the FedEx overnight, DHL overnight, and UPS over nights into a spreadsheet, then i distribute them to out departments.

And I make sure that I my desk and work environment are always neat and cleanly arranged. As the mailroom clerk is in the best position to answer customers’ inquiries regarding postal rates, and posting duration. I am able to manage my time to meet deadlines. And I am very mature and professional and I have the capacity to maintain a high level of confidentiality.

As the Mailroom clerk I perform various duties, tasks, and responsibilities as shown in the following job description example: Receive mails coming into the organization or from the post office. And sorting mails and then distributing them to specific individuals or departments they are addressed to. As the mail person, the clerk is responsible for keeping track of mails received by the organization and those sent out.

I properly document mails in relevant files as they arrive, before sending them out to the receivers. And make provision for the receivers to confirm that they actually received them to prevent loss of mails. And as the mailroom clerk in a firm also entails sorting out letters and packages by location, and ensuring that items for a particular person or department are put together for easy delivery.

And are expected to move to the location of the receivers and personally place the packages into their mail slots or deliver them in person, in some cases. My job also entails ensuring that staff’s letters and packages are sent out to their receivers. I am required to go round the organization at designated times to collect the mails to be sent out from particular locations, and check them to ensure that they are properly addressed to prevent them from getting lost before sending them out through approved channels.

My mailroom duties as a clerk usually involve weighing and attaching the right postage stamps on mails before sending them out, and ensuring that there are adequate postage stamps in the mail room at all times to facilitate free flow of messages. And when I observe the postage meter balance that they are running out of postage, they will liaise with management to order for more of it to ensure work on outgoing mails is not stalled.

Keep record of all mails received using the computer system in a particular order to be able to identify date of receipt, where and whom it was sent to for easy identification. This process helps in tracking mails and packages and prevents losses sort packages and group them into different categories for easy dispatch and safe handling during delivery to prevent damage of sensitive packages if they were mixed up with non-sensitive ones Collect mails and packages from staff in the organization, including spelt out addresses of where they will be sent to

Work with courier services and postal offices to get best rates of mail delivery and stay updated on quality of service delivery.
