Plans, manage, and coordinates office space requirements for the Energy Information Administration (EIA), an agency under the Department of Energy (DOE). Consults with management relating to facilities and logistic issues such as wall sound proofing, carpet replacement and/or cleaning; replacement of radiator coils for the agency; realigning the movement of employees, equipment, and furniture. Also oversee the upgrading of copy centers regarding the rewiring of electrical circuits and installing new multi-purpose copier machines; upgrading the agency analog telephones to the Cisco IP phone system; and replacing of IT equipment.

Evaluates cost estimates for scheduled maintenance, repairs, alterations, and construction projects. Conduct surveys for the planning and coordination of space utilization changes. Develops standard operating procedures for office and equipment relocations, and with my knowledge from completing the Facility Management Professional Course (FMP), I have an improved understanding of facilities and logistical duties.

Assists in the development of a one-year management plan for budgetary purposes for facilities and logistics upgrades and replacements.

Developed and coordinated a project plan for a 12,000 square foot space for a contractor work center which was implemented and completed within a 5-week period once furniture was delivered. The primary tasks surrounded this project included the survey, purchase, and installation of furniture; the relocation of electrical monuments within the raceway of the floor; pulling of multiple telephone lines through the ceiling; paint and re-carpeting of the entire space; pulling of 32 LAN cables for IT equipment; and review of sketches and pictures for wall placement. Also developed a plan to have carpet replaced for the entire EIA agency. Hosted meetings with the IT department, furniture department, to have items moved for the carpet replacement, and carpet contractors to scheduled phases with a project of this magnitude.

Maintain schedules and tracking system for the inspections of walls, floors, ceilings, stairwells, and etc., by entering data into an excel spreadsheet to keep track of any structural damage to the property. If damage is discovered, reports are made to the team leads and requisitions are submitted to the facilities staff for the repair of the damaged property.

Develops lists of material and equipment before the start of new projects. Provides the lists to facilities for cost estimates. Once the estimates are returned, review the estimates and make any recommendations, as needed, to management for approval. Once approved, generates a funding memo to facilities to finance the project.

Meet with the agency engineering staff to ensure all security regulations and procedures are followed such as holding regular agency safety fire drills, reporting elevators failures, report unusual odor in individual offices and areas, and reporting water leaks and radiator malfunctions, to name a few.

Train contract employees to perform duties on a daily basis such as maintaining the TESA Lock Data System for security, inputting telephone, furniture, and equipment move requests into the DAYS System, and maintaining agency floor plans via the Visio Program.

Serves as the EIA point of contact for the Sunflower Asset System which keep track of all EIA computer equipment.

Security Operations

Serves as Alternate Headquarters Security Officer (AHSO) for EIA. Work directly with the HSO on emergency issues along with DOE security personnel. Assists in the planning and development of procedures for the physical security of personnel and the building. Processes and updates badging requests for contract employees. Processes foreign visitor requests for entry into the DOE building. Reviews employees’ status in the Management Information System (MIS) Application Gateway when there is a delay with a federal or contract employee receiving an agency badge. Assists personnel in meeting security requirements by providing advice and assistance in properly marking, handling, and destroying classified materials. Ensures personnel complete all annual required security training sessions and maintain records.

Serves as Alternate Continuity of Operations Coordinator (COOP) for EIA. Assist in the planning of the off-site continuance of operations in the event of a major catastrophe.

Contact agency security experts to provide to and seek guidance from the offices of Classified Matter Protection and Control (CMPC), Physical Security, Information Security, Personnel Security, and Protective Force Operations.
