As a Treatment Coordinator the responsibilities are meeting all new patients and existing patients in the observation program to discuss their orthodontic needs, answer questions they may have, take full composite photos, and other diagnostic records when necessary (panoramic x-Ray, ceph x-ray, 3D scan), review all information with doctor prior to them meeting with patient, enter all notes for exam including doctors notes for each appointment, discuss our observation program if patient will be going into that, present orthodontic treatment plan, show models to patients for types of braces/aligners, review payment options. Check benefits and eligibility of patient's insurance benefits, submit pre-determination to insurance companies or to HUSKY, schedule their start of treatment, review financial agreement which includes an estimated amount their insurance company may pay, have patient sign and process required deposit, discuss consent forms and provide patients with any information that explains orthodontic treatment.
Follow up on all pending patients weekly, bi-weekly and monthly reports. Responsible for office Marketing/Social Media to include working with local schools and groups to provide sponsorship, coordinate activities for office and community, team building exercises, event planning and monthly office contests for patients.
Front office requirements consist of checking patients with initial Covid19 protocol, temperature check, review any paperwork, insurance and photo ID scanned into chart, announce patient arrival to team. Throughout duration of the day check voicemails, emails and any patient forms processed through Ortho Edge II software, verify all insurance benefits either online using Dental Exchange or calling insurance company directly. Process any payments made at the desk, on the phone and mail. Batch claims to insurance companies, process end of day reports for doctor and settle credit cards and checks to complete end of day deposit. Set daily schedule for appointments for doctors, assistants and treatment coordinators schedules, call patients to confirm appointments. Give any support to the Office Manger as needed.
