Duties & Responsibilities: -
-Perform all supervisory duties required to run the Document Management department.
-Quality check of documents as per administrative requirements.
-Assisting in set up the strategy and procedures of the Documentation.
-Updating and uploading doucments.
-Preparing transmittals.
-Running Reports from the document and mail registers
-Implementing and Managing document control system in AAA & Witveen Bos projects.
-Carry out inductions of training to project or external personnel of how to interrogate the document management system.
-Ensure Controlled copy documents are managed to auditable standard.
-Liaise with Engineering to ensure the Document Distribution Matrix (DDM) is set up to meet project needs
-Supervising and managing a team of document controllers.
-Register and maintain documents in the Electronic Document Management System by using ACONEX.

-Getting all submittals reviewed by PM before distribution.

-Manage project files from project start up to now in soft and hard.
-Verify, Receives, and logging all submittals come from contractor.
-Follow up with Contractor to submit the required and missed documents.
-Translate technical documents, prepare and drafting bilingual daily correspondences.
-Type and revise minutes of meeting.
-Follow up with all dicipliens to ensure that no pending submittals.
