• Provide full administrative and secretarial support at a senior level to the Director to ensure the smooth management of her day-to-day affairs, and most effective use of his time.

• Schedule meetings and ensure that the Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers.

• Attends to the administrative functions and daily operations of our organization’s projects and programs.
• Oversee the project's daily functions to ensure deadlines and compliance requirements are met, and report to the Director.
• Developing effective and productive action plans to ensure the acceleration towards the completion and timely delivery of the project/scope of work/spares/services.
• Maximizing all available resources to the fullest to avoid excesses and wastages in terms of work force, time, capital, and materials.
• Task tracking – ensuring every team member contributes to the project/scope of work by means of tracking individual tasks allocated to such personnel by the Director. In this regard look closely at the project schedule and obtain task-level updates from team members on each task which will determine there's risk of a missed deadline and provide an counter action to proceed more effectively. This process ensure that task tracking is a team effort requiring
open communication between the relevant teams/divisions involved. Assist with the compilation is to compile / provide a central source of communication (project management tool/cloud based) for all project information. The entire team can work from the same source and see exactly which team member is responsible for allocated tasks and by when completion is required.

• Process documentation – I am responsible to manage vast quantities of paperwork, information, and communications to the team members. It is reqruied to have hard skill to churn out process documents, following processes and requirements, communicate with clients, and record such tasks efficiently by means of a Task Management program implemented and maintained or similar actions initiated, this is vital and crucial to ensure the success of projects at hand. I am responsible to compile information documents; schedules; generating categorized files with exceptional organizational skills, managing these tasks actively and contributing to project performance.
• Budget and resource management – I am in charge of tracking expenses for a given project and overseeing a team’s resource management plan, allocating resources and facilitating transactions for project needs to ensure that the project stays within the set-forth budget margins, if overspending while a project is in progress, this is referred to the attention of the Director who will then take the necessary action or decision to determine where to adjust the project plan and reduce expenses.
• Meeting administration – I am required to schedule regular, essential meetings pertaining to progress and project workflow. These meetings promote team collaboration and ensure there’s open communication across team roles and
expectations. These meetings provides a solid structure to proceed from between all team members ensuring all members of the team is on par with requirements at hand. Page 6 of 6
