Duties:

Serve as first responder for Principal’s, with the ability to appropriately act on their behalf by responding to requests and prioritizing needs.

Manage and maintain Principal’s calendar and schedule; scheduling internal and external meetings, conferences, special events, telecommunications and travel.

Help Principal in preparation of materials for meetings, conferences, etc.

Providing high quality, up-to-date documentation for all service arrangements.

Motivating and guiding admin team.

Seeking out, establishing and maintaining relationships with operational contacts.

Prepare correspondence on behalf of Principal

Review and respond to email, mail, invitations and phone calls; this may include responding on behalf of the Principal.

Provide general assistance and serve as an intermediary between executives and staff.

Keep Principal contact system current and accurate

Assist with special projects as they arise.

Maintain a filing system for correspondence, business matters and other related data

Create, prepare and submit expense reports for executives.

Ability to observe strict confidentiality in all aspects of services provided

Prepare reports for internal and external investors

Serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.

Proactively developing and retaining key customer accounts.

Maintaining effective control of expenses by regularly examining management accounts and comparisons with budgets.

Carrying out quarterly billing checks and inventory audits

Collecting and analyzing data, then using it to plan and manage both projects and systems.
