The Crew Operators are accountable to the Crew Manager and responsible for:

Attending to all requirements of Principals assigned by the Crew Manager.

Scheduling and coordinating with approved clinics and the seafarer for the pre- employment medical examination (PEME).

Endorsing seafarers to In-house training Department for their trainings as per Principals’ requirements

Sending proposals of qualified candidates to the Principal, under the supervision of the Crew Manager.

Lining up seafarers as per Principal’s manning requirements

Coordinating with all concerned personnel regarding the processing of seafarer’s travel documents and training requirements.

Communicating with the Principals’ Crew Department and vessel’s agents with respect to the status of visa, flight details and confirmation of seafarer’s departure.

Briefing the seafarers on their flight and instructing them on airport procedures.

Taking over minor duties and responsibilities of the Crew Manager in his absence.

Issue debriefing forms and crew routine and checking validity and Authenticity of documents.

Ensure that all seafarers before their embarkation have been supplied with Uniforms and other safety items as specified by Principal

Endorsing seafarers certificates which are closely to their expiration to Marina for renewal

Preparing all Addendums to the contracts of Employment as per Principal requirements’

Dispatching seafarers and ensuring that a complete set of all documents are handed to them prior departure.

Endorsing disembarked crew to the Financial Controller

Attending to all queries and requests from crew families and maintaining good and friendly relationships with them.

Updating and monitoring of the standby crew lists.

Interview, medically repatriated crew and prepare the interview form. Photocopy all the documents in the interview form and refer to the post medical examination the repatriated crew. Thereafter, forward to the President the interview and referral form.

Coordinating with Visa Officer all requirements needed for Visa Application .

The Crew Operators shall, in addition to the above responsibilities, perform any other tasks or duties that may be assigned by the Crew Manager. CREW MANAGEMENT OPERATOR

The selection of officers and ratings as necessary;

Ensuring that seafarers comply with all specified criteria for recruitment including STCW, Flagstate and vessel requirements;

The processing of flag state documents and visas as required;

Making travel arrangement for crew to join and leave the vessel, liaising with manning agents as necessary;

Monitoring the efficiency of sea staff via the appraisal system;

Scheduling of officers and ratings joining and leaving the vessel;

In coordination with concerned personnel in-charge, ensures that the following travel requirements of seafarer are completed, such as:- o Processed POEA Employment Contract [Processing Officer] o Flag requirements i.e. Panama, Bahamas, Liberian, Cyprus, etc. [Flag State Officer]; o Pre-employment medical examination; [Communication Officer] o Visa and flight details [Visa Officer];

In-charge of informing the lined-up/embarking/disembarked seafarer’s upgrading course/s, as per STCW 95 and/or based on Principal’s requirement;

Maintains record for the needed upgrading courses of seafarers;

In-charge of endorsing the seafarer for PDOS;

Endorses original photocopy of seafarer’s documents to Communication Officer who will Transmit the same to vessel and/or principal;

Responsible for dispatching seafarers and ensures that pertinent documents [using Acknowledgement receipt] are handed to them;

Conducts flight briefing and airport instructions;

In your absence, Documentation/Records Officer II shall take over your duties and Responsibilities;

Responsible for maintaining effective filing system for active and inactive seafarer’s 201 files;

Ensures that photocopies of seafarer’s documents [i.e. certificates, licenses and for purposes of renewal] are intact;

Ensures that seafarer’s 201 files are updated;

Ensures that pulled-out/returned seafarer’s 201 files is recorded;

Initiates benefits for employees;

Issue the directives concerning office decorum;

Responsible in delineating the duties and responsibilities of personnel;

Conduct staff meetings with office personnel;

As ASST. QUALITY MANAGEMENT REPRESENTATIVE:

Reports directly to the Quality Management Representative and shall assist him / her in:

Review external and internal documents relative to the Quality Management System;

Entertain, collect and classify customer complaints;

Control and maintain principal-supplied materials;

Oversee the implementation of procedures;

Responsible for embarking/disembarking seafarer’s documentation at PRC, TESDA and MTC [i.e endorsement of certificate, extension, etc.]

Responsible in contacting and informing the lined up crew for the training schedule, especially those that concerns Flag and NAC.
