Conduct analysis and verifies the final steps of eligibility analysis for applications of the DMV submitted for candidates who have taken Exams in the ECOS syst. Verifies EVR’s . Review and interpret classification specifications including analyzing the 511 B, GRAPEVINE, and applying laws, regulations, and polices to determine each candidate’s eligibility.
Research, Calculate employment history of candidates in SCOPROD/ PIMS/ HIST database, interpret and apply the minimum requirements of the class, verify the candidate has passed the applicable civil service examination, and make recommendation to management regarding the eligibility of each candidate.
Correspond Request PIMS history from with other state departments agenciesfor receiving verification of State Controllers work history to calculate and determine if candidate meets minimum qualifications.
Compose withhold requirements for each candidate found to not have met the minimum qualifications of a classification. Written notification of withhold letters to candidates explaining final determinations and notify candidates of their appeal rights.
Provide excellent customer service to applicants and Liaisons, by providing timely and accurate response to questions and requests pertaining to the Certification process. Orders Generates ECOS certification list and mail out contact letters. when needed. Generates Applicant List Reports by reviewing all hardcopy and candidate’s electronic state applications and,redacting documents not in EEO compliance as needed. Logging Responsible for maintain the the filing of official certifications with accurate back-up documantaion per CalHR rules for audit purposes and close out file upon completion Of; hire, cancellation or expiration.Entering in DARS in ORACLE, file and/or create generate DMV folders for vacant DMV positions.
Written Correspondence with liaisons and hiring managers to cancel expired ECOS cert list and DAR’s/ERR’S in the ORACLE database. Maintains all DMV employment lists via the ECOS database; advises management on appropriate abolishment of eligible lists
Review and apply laws and policies while processing DMV1308 pkgs. Record required employee information into DAR/ERR, ORACLE, process hired information into the ECOS database and deliver to transactions for processing. Review documents in 1308 and requestRequest any corrections as needed from 1308 coordinator. Completes hiring information on the DARS and ERRs and routes them to transactions for processing. Analyze withhold requirements for each candidate found to not meet the minimum qualifications of a classification. Process withholds and notify candidates of their appeal rights.
Provide Consultation to candidates on the selection process in including the application and examination process. Directs candidates on how to self-schedule for DMV examinations. Assist the public self- scheduling registration, creating a Cal Career ID profile.
Prepares correspondence to request additional information from the applicant as appropriate. Consults with Personnel Technician Supervisor II to recommend withhold action when an applicant does not meet the minimum qualifications. Reports and assists supervisor in conducting candidate investigations, resolving potential illegal hire situations or other certification and examination issues. Processes list transfer eligibility to and from other agencies, by analyzing SCO PIMS history and appropriate list requests approved by an examination analyst.
Serves as a chief proctor, assistant proctor, receptionist, or Chairperson for examinations. Prepares correspondence to Provide examination applicants, examination results,. Interprets and explains State Personnel Board (SPB) and CalHR laws, rules regulations, policies and procedures regarding examinations to the public, departmental employees, and hiring managers.
Acts as liasison liaison between the DMV and SPB regarding Medicals (with physicians Report), form 610. Receives completed STD 610 from candidate, logs it in the Health Questionnaire database and reviews medical documentation to insure all documents required are completed correctly. Informs hiring manager of results. Authorizes payment of medical bills related to Medicals and forwards medical bills to Accounting Office for payment.
Prepares, organizes, and maintains workflow. Maintains logs and files in Microsoft outlook, File-maker Pro, ORACLE, Excel, Windows, DMV templates.
Performs other duties as required.
