Secretarial duties

Acting as the first point of contact for Chairman’s Office for external and internal stakeholders.

Calendar management. Fixing and following up appointment & schedule of the Chairman’s meetings.

Screening of the phone calls of the Chairman and giving proper information / diverting to the right personnel.

Doing self-correspondences of the Chairman’s day-to-day official routines. Preparing minutes of the meetings and circulating it to the concerned personnel.

Travel arrangements including flight ticket booking, visa processing, hotel booking, car booking of the Chairman and family members and senior company officials. Hosting foreign clients and other delegates on their visits to India.

Doing proper search for air tickets and hotel bookings through miles to get the free tickets / rooms as far as possible.

Assisting for passport renewals & application for new passport.

Negotiating with hotels, car rental agencies to get the best discounted rates.

Screening, prioritizing the documents and put forward the useful info to the Management.

Keeping track record of the credit cards, club membership of the Chairman and family members and periodically updating the same.

Maintaining and keeping track of the social invitations of the Chairman & family and giving RSVPs and taking RSVPs for the functions arranged by our Chairman.

Arranging forex, overseas insurance, driving license, foreign simcards for the Chairman and family members.

Co-ordination with various vendors for the office renovation and related activities.
