1.Currently working as, a Document Controller in Shapoorji Pallonji Mideast LLC, in Riyadh city at KAFD (King Abdullah Financial District) Project, since February 2020 to till date continuing.
Document Controller Job: Responsibilities
A document controller is responsible to maintain timely, accurate and efficient preparation and manage project documents & need to be control with the numbering, sorting, filing and retrieval of both electronic and hard copy filing system to keep all record to produce to technical teams related projects or Project Manager.
Familiar with very good commands in (EDMS – ACONEX) Electronic Document Management System is a software package designed to manage electronic information and records within an organization's workflow. Utilizing various technologies, an EDMS allows a user to manage the creation, storage, and control of records & Project Controls, and Workflow Management – Aconex document management, it is provides all partners and organizations quick access to current documents and more.
Upload documents to Aconex:
Upload documents, Technical drawings, reports, letters or other project-related files into Aconex from personal computer.
Set up, copy & scan all Technical As Built Drawings & Shop Drawings & WIR, MIR, MAR, Physical Inspection documents.
Create templates & making individual filing folders to retrieve the record smoothly.
Uploading all Technical As Built Drawing & Shop Drawings, WIR, MIR, MAR, Physical Inspection Request soft copies through (EDMS- ACONEX) for approval from the main Consultant office.
Upload multiple files to Aconex:
Click Documents. Under Actions, click Multiple File Upload.
Upload multiple documents and move them into the Document Register.
To register documents, select the ones you want by clicking on the checkboxes to the left of each filename.
Supersede documents in Aconex:
In Aconex updating a document is called 'superseding, you'll see all the details of the current version for the documents & you can update any details except for the document number.
If required, drag and drop a new file by clicking to upload link to upload a file by clicking Supersede Document.
Supersede multiple documents in Aconex:
Select the documents you want to use to supersede others in your register by clicking Tools/Bulk Supersede.
Bulk processing in Aconex:
Create and download a metadata file.
Enter the details for your updated documents in the metadata file.
Upload your files into the Temporary Files area.
Test your template.
Run the bulk process to move the updated files into your Document Register (along with the updated data).
Transmittal Documents in Aconex:
A transmittal is used to send updated documents to organizations working on the project, when you use a transmittal the documents you transmit are updated in the recipients' document register as part of the Aconex.
Difference between submittal and transmittal:
The main difference between submittal and transmittal is that submittal is a document, sample, or any other information that is presented for review or consideration, whereas transmittal is a document that is sent along with other documents or files.
Start workflow in Aconex:
Can be start a workflow using documents from document register, and/or. a transmittal. & need to select each document that you want to add to your workflow.

Workflow transmittal in Aconex:
The process consists of collecting multiple documents — some contractual, some operational and some informational — and attaching a summary cover sheet to create a deliverable package.
How to close a workflow in Aconex:
Need to select the checkbox for each document you want to terminate to close a workflow in Aconex.
How to approve in Aconex:
Need to click the Mail button from the Module Menu, and then under Actions, click Mail Approvals.
Click for your Approval tab to see mail that requires your attention.
How to download multiple files from Aconex:
Need to click the Tools button and choose Zip Download or Zip Download with Markups for multiple files downloading.
Recall an email in Aconex:
All Mail sent on Aconex is assured, meaning it cannot be recalled, edited, or deleted - it's securely retained and tracked in the project record.
File documents in physical and digital records and ensure appropriate storage.
Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date.
To liaise with and distribute project related information with all levels of the project team and potentially external parties.
Manage the processes around documentation within the organization.
Maintain confidentiality around sensitive documentation.
Maintain project drawing/documents distribution record.
Handling of all engineering documents & Controlling all records of sub-contractor’s documents.
Maintaining all correspondence and other transmittals from the Clients and other contractor / suppliers / vendors & etc, in a systematic way to facilitate an easy reference at all time.
Maintaining Log Book up to date & record for all submittal documents such as WIR, MIR, WAR, PHYSICAL INSPECTION SURVEY, MEP CLEARANCE, MES, NTP, NCR according to project.
2.Worked as a Document Controller at Gulf Energy Solutions Co in Jubail city, from August 2019 to December 2019.
Upload documents, drawings, reports, letters or other project-related files into Aconex from personal computer.
Set up, copy & scan all Technical Shop Drawings & WIR, MIR, MAR, Physical Inspection documents.
Create templates & making individual filing folders to retrieve the record smoothly.
Uploading all Technical Shop Drawings, WIR, MIR, MAR, Physical Inspection Request soft copies through (EDMS- ACONEX) for approval from the main Consultant office.
Well familiar & have good commands in ACONEX performing for various clients such as (ARAMCO, SABIC, MAADEN, YASREF) & other individual clients.
Aramco RFQ download & acknowledge in Ariba Portal. Processing incoming PO's for acknowledgement and forwarding to the clients accordingly & filing hard copy & soft copy such as (ARAMCO, SABIC, MAADEN, YASREF)
Download & acknowledge RFQ from SABIC, MAADEN, YASREF & other Portal’s.
Filing hard copy & soft copy of RFQ’s & PO’s, Technical Drawings.
Maintaining the record of RFQ’s & PO’s, Submittal technical documents.
