I was brought in to evaluate their contract databases, the integrity of their contract document templates, as well as to tackle a large backlog of contracts and change orders needing completion. There was also a serious need for processes and procedures to track the progression of contracts and the supporting documentation to ensure their contracts were actually fully executed. A list of my tasks and accomplishments are below:

All database contract and change order documents, including supporting documents, as well as their respective trade specific templates were evaluated, and all outstanding documents preventing a contract/change order from being fully executed were identified and reported to management;

Recommendations were given as to what existing contract, change order and supporting document templates could be salvaged and which templates needed a complete revision by their attorneys;

Suggestions were made to improve ease of document retrieval, as well as strategies to protect the integrity of the new templates, once received, and all other required documents for the completion of a fully executed contract;

Prepared a tracking spreadsheet to ensure any changes to contracts or change orders and other supporting documents were memorialized, allowing anyone, at a glance, to see if a modification had been made, when it was made, and who actually made the revision to the template;

Suggestions were made for a process and procedure to ensure the updated templates, when received, could not be compromised as they had been previously;

Prepared reporting tools in the form of spreadsheets which gave, at a glance, immediate status of any trade’s contract or change order status, as well as it’s respective supportive documentation status;

Created a process of reporting and requesting updated supportive documents with expiration dates to replace expiring documents before they actually expired; and

The extremely large volume backlog of new contracts and change orders in need of completion was successfully completed in record time.

While working for Tutor Perini/Parsons Construction (Via System One), in a joint venture for the California High Speed Rail (CHSRP), I performed the tasks below:

Extensive calendaring of all incoming documents received via various modes to ensure time sensitive events and their appropriate deadlines were memorialized immediately;

Generating and monitoring submittals, transmittals, design change notices and requests for information under the direction of Design Engineering Management and the Design Engineering Group. (As this was a joint venture project, these documents were provided to Tutor Perini who handed these documents off to California High Speed Rail Authority and CalTrans);

Extracting, summarizing and monitoring of incoming documents for any and all vital information that affected the Design Engineering Group’s deadlines and individual calendars, specifically to keep Design Engineering Management and the Design Engineers up to date on project status;

Utilization and updating of essential data and documents in ProjectWise, Egnyte and SharePoint databases for various required tasks for the Design Engineering Team;

Monitoring the operation of office equipment, ensuring an adequate inventory of essential office supplies during the COVID pandemic; and monitoring and tracking incoming invoices from outside vendors and routing appropriately for payment;

Printing/plotting plans, picking up and dropping off plans.
