Patient Assistant / Receptionist Job Duties:

• Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.

• Directs visitors by maintaining employee and department directories; giving instructions.

• Maintains security by following procedures; monitoring logbook; issuing visitor badges.

• Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.

• Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

• Contributes to team effort by accomplishing related results as needed.

Patient assistant / Cashier

• Receive payment by cash, cheque, credit cards, or automatic debits.

• Issue receipts, refunds, credits, or change due to customers.

• Guiding and answer customer’s questions, and provide information on procedures or policies.

• Cash checks for customers.

• Compute and record totals of transactions.

Responds to telephone and in-person inquiries regarding reservations, hotel information and guest concerns. • Sorts incoming mail and faxes for guests

• Transmits and receives telephone messages

• Answers inquiries pertaining to hotel services; registration of guests; shopping, dining, entertainment and travel directions.

• Keeps records of room availability and guests' accounts

• Computes bill, collects payment, and makes change for guests

• Makes, confirms, and cancels reservations

• Assists guests with safe deposit boxes.

• Uses suggestive selling skills and company sales programs to maximize revenue and occupancy levels.

• Reports all customer requests in Opportunity Log; reports all service complaints in Service Log; performs courtesy calls and logs them in Courtesy Call Log.

• Handles accounting of money, receipts, guest accounts and credit through operation of the Fidelio / Opera system and completion of reports required to ensure company funds are secure.

• Proper uniform and nametag will be worn at all times

• Insures that incoming calls to the switchboard are answered within three rings.

• Room directions along with hotel outlets along with hours of operation must be explained to all customers.

Telephone Operator/ Front Desk officer

• Operates switchboard equipment in order to answer incoming calls; determined intent of caller and makes appropriate connection.

• Assists in maintaining and updating telephone directories and event schedules via computerized data base

• When notified of changes in order to access correct information.

• Places long distance and conference calls for authorized parties.
