1. Document controlling of the project as per the Document controls procedures and protocols. 2. Responsible for advising project personnel regarding the project documents and procedures. 3. Receiving & submitting Project Documents, drawings from client, consultants and subcontractors. 4. Distribution of project documents to the site and different sections. 5. Electronic & paper based distribution of project documents to internal & external recipients. 6. Maintain and timely update of Shop Drawings Deliverables schedule, Method Statements Deliverables schedule, Materials Schedules etc.
7. Maintaining Hardcopy Filing System and share drives as per the filing system matrix. 8. Preparing pending and overdue list of documents whenever needed. 9. Generate weekly reports on document status for reporting to Project Team. 10. Preparing the reports of the Project details weekly. 11. Communicating with the clients and consultants to get the relevant documents. 12. Collecting proforma from all the staff and submitting them in HO. 13. Preparing assets report monthly.
14. Preparing Assets, Plant, Machinery, Project completion, Safety & Quality reports. 15. Responsible for all the outgoing and incoming Documents. 16. Filing all the license copies & maintaining copies for easy tracking recording all incoming and outgoing Key Documents.
With regards to Petty Cash Management:-
1. Check all petty cash bills thoroughly.
2. Make sure all petty cash bills signed by concerned staff at site. 3. Make sure that coding is done properly on all petty cash bills. In case of Arabic bills, proper translation is done or mention reason for which expenses is incurred. 4. Submit petty cash bill on daily/ weekly basis.
Maintaining petty cash expenses with proper approval & supporting & the same to be forwarded regularly to the HO for approval
