Job position: Executive Assistant, Year: April 2012 – June 2018 Responsibilities:

• Assisting Partners & Executive Directors in Assurance Service Line / Audit Dept. and other service lines by managing their Calendar & organize the Partner’s Diary, prepare the agenda of the meetings and take the notes.

• Organizing the Internal & External meetings for the Partners and always reminds them in case of any changes or cancellation.

• Arrange Business Travels booking for the Partners by checking the available flight, hotel, driver booking and submit it on his calendar with full trip details.

• Add the E-Signature of the Partner in case he is out of the country or the office on the letters after his email permeation to add it.

• Arrange the Conf. calls on daily basis for the Partners, coordinate with the IT team in case of any phone problem issue.

• Checking the company email, fax and the mail and take the action on the same day by replaying direct to the sender or forward it to the concern person / dept & create mail reports for records.

• Meet and greet visitors.

• Receiving and answering all the incoming calls for the Partners and transferring it as necessary.

• Checking Partner’s Tray on regular basis & always co-ordinate with the document controller for the Client delivery.

• Ability to deal with Clients at all levels by handle all the daily incoming calls, client’s correspondence specially the confidential letters.

• Doing Expenses Claim on daily basis, contact the accounts department for invoices and payments.

• Update the Timesheet for all the Partners and Executive Directors on weekly basis.

• Sorting & arranging Client Business Cards for each Partner and executive director.

• Dealing with other all EY Offices Local & Global for issues related to the Partners such as: arranging Meetings & big events.

• Arranging appointments and meetings as required.

• Deal proactively with incoming correspondence, new clients and customers enquiries.

• Handling all the meeting rooms booking by checking the availability on the internal system and always send a reminder before one day and follow up for any changes.

• Always prepare the meeting room before the meeting and make it ready by checking the lights and the stationery on the table.

• Managing office supplies such as stationery, equipment and furniture.

• Assist, train & replace other Executive Assistants during their leaves and absence.

• Support the HR team & accounts dept. during the busy season.
