Time office function and Bio -Metric Attendance system :-
Manage all Time Office functions on a day to basis and Computerized Attendance Marking System. Daily basis keep track of the Bio metric attendance marking system for all our employees including contract employees. If any deviation in attendance Timing (late / early going), it is should be highlighted HOD/ Plant Head and necessary action to be taken as per the Admin policy.
Daily Plant rounds to be carried out for three times with probable time interval to ensure the House keeping, Things / Persons are in designated place, General Safety and Security deployments and movements.
Predation of monthly attendance and coordinate with Salary processing
Contract Labour Management:-
Ensure Contract Labour is provided as per the approved Contract Labour deployment chart
Any additional Contract Labour requirement for a day or certain period should have signed approval from Unit Head
Should inform the contractor and collect photograph and address proof of all contract labour
Biometric registration of contract labours
Get a English and Local language declaration signed from all Contract Labour that they are not having criminal record and that they are medically fit to perform the job
Ensure no Contract Labour below 18 years of age is allowed in the plant
Prepare and submit the contract labour deployment MIS
Take rounds on the shopfloor and find out if any machine is not in operation and still HOD has taken the Contract Labour. Inform this through MIS
Try to see if any extra Contract Labour taken for the day can be utilised in certain other department.
Ensure A grade casuals are never lying idle and report the same to HOD/ UH for utilizing them in another production area
Ensure safety of plant specially on weekly rest or any holidays including national holidays.
Ensure complete compliance of working protocols as agreed with the contractors/ security agency/ transport systems/ godowns contract and its safety.
Collection all the Labour Bills and other Admin expenses Bills timely and check with approved rate and get your HOD approval and also get Commercial dept. approval for payment.
Strictly adhere the C.L. Guide Line.
House Keeping & General Admn. :-
Ensuring the Floor in the complete unit is sweeped on daily basis, Toilets are cleaned on daily basis - Housekeeping Checklist to be followed and maintained.
To check if any Tubelight, Bulb, Tap is not working properly and the same to be repaired / replaced
Plant Security & administering the transport movement and their drivers/ cleaners inside the factory is safe and as per our safety protocol.
Night Rounds & its privacy protocol.
Initiate proactive actions to deal with season issues like raining, festivity & harvesting.
Transport Management- Company pick up and drop vehicle time adheance and other external travel arrangement as per the company requirements.
Take care of company guest hospitality.
Attendance and Leave management of our staff / operators / C.L by keeping the proper record.
Coordinate for Safety and other training to be conducted as per the Training plan.
Any other supporting or exigency work given by plant Head & GM.
Verify and pass all the bills pertaining to HR dept. and send to GM approval for payment
Canteen Management:-
To Audit the functioning of Canteen on daily basis.
Housekeeping of canteen area in the unit should be maintained.
Pantry of canteen is clean
Sufficient lights and fans are available and are working properly in the canteen
Ensure plates & spoons are washed properly
Ensure sufficient quality food is made available by the contractor
Ensure contractor is providing fresh food in the morning and evening
Audit the food preparation place of the canteen contractor atleast once a week
Annual pest control to be conducted in the canteen area
Canteen’s furniture condition has to be observed on quarterly basis
To check the Fittings in the washroom on weekly basis.
To check the supply & quality of the drinking water on daily basis.
Marking of above job completion will be given by canteen audit team.
Training & Development & HR – Activities :-
Review the Training Calendar and coordinate training arrangements between participants and the Faculty. Collect Training Materials from the Trainer to evidence the training and ensure Training Feedback is taken from participants even it is an external training program. Training Effectiveness Feedback Sheet is to be collected from the participants after three months from date Training as per the Admin Manual (Training & Development). And also for Employee Induction program.
Birthday wishes to all employees of Unit II and related fab unit employees of Unit II.
Coordinate with HODs for obtaining JD and Skill matrix and PMS records .
Organizing any event & motivational activities and HR initiatives.
Statutory compliances & Maintaining Records:-
1.Ensure all statutory compliances - EPF/ Medical and Accident Insurance in coordination with Manager- HR &Med claim Data preparation on Monthly & Yearly basis.
2.Assist to HR – Manager for Liaison with the Govt. authorities for statutory requirements.
3. Handle statutory and non statutory welfare activities and employee grievances smoothly with advice and assistance of Manager- HR.
