Key Result Areas:

Coordinate the day-to-day general administration of School, as directed by the Head of School, and be responsible for the smooth functioning of all administrative and support services.

Maintain liaison with Government, local authorities and other outside agencies. (i.e. Municipal, Electricity, Water Supply, Telephones, Postal, etc.)

Recommend and initiate action on all legal and statutory matters as may be relevant to the properties and operations, in consultation with the Management.

Determine and consolidate the School’s annual printing and stationery requirements in consultation with all departments and monitor wastage.

Initiate action for renewals of all School annual subscriptions and memberships, in consultation with the Head of School and the Management.

Handle day-to-day financial matters under the direction of the Head of School. Maintain a cash book and records for all day-to-day expenses, monitor the School’s imprest and consumables account and submit accounts for the same periodically.

Ensuring security arrangements of the school premises.

Supervision of movement registers and visitor registers.

Proper Security arrangements at school premises.

Personnel

• Handle day-to-day personnel administration and procedures for the school.

• Ensure the proper maintenance of staff personal files, leave records and annual leave records.

• Monitor adherence to terms of service and staff disciplinary rules.

• Recommend action on statutory labour matters and disputes.

• Organize the preparation of all standard letters (which the Head of School should sign) on warnings, show cause notices, suspension orders and letters of appointment.

School Functions

• Organize and make infrastructural and logistical arrangements for all School functions.

• See to the preparation of guest lists and the issue of invitations.

• Handle transport logistics and the provision of all required personnel.

• Arrange for the renting of furniture and equipment required.

• Arrange for the ordering of foodstuffs & beverages, as required.

• Certify supplier bills for payment, etc.

Transport System

• Manage the day-to-day operations of the school’s transport system, including the school buses and other vehicles, in close consultation with the Administrative Office Coordinator and oversee the work of the Transport Supervisor.

• Monitor the proper use of all school vehicles, in accordance with the systems and procedures laid down for the same

• Ensure that statutory documentation for all school vehicles is up to date and valid. (Registration books, road tax, insurance, etc.)

• Ensure the maintenance of vehicle utilization log books and registers, with respect to daily running of vehicles, fuel consumption and topping up and vehicle repairs.

• Arrange for regular inspection of all school vehicles and ensure that a preventative maintenance and service programme is in place.

Stores & Inventory

• Oversee the work of the Stores supervisor and the running of the school stores department.

• Monitor indents, issues and inventory periodically and ensure proper and systematic storage.

• Ensure that departmental indents are duly signed by the sanctioning authority concerned and that indented materials are issued promptly.

• Monitor and develop the stores order, re-order, receipt and issue system on the basis of perpetual inventory control.
