Clinic Systems Manager, CVT- The Centre for Victims of Torture

Oversee Clinic Systems and Reporting:

1.Developing, coordinating and overseeing systems to ensure completeness, integrity, quality and security of client records.

2.Reviewing and developing policies and protocols and ensure timely and accurate dissemination of information, as well as to compliance with data protection policies and protocols.

3.Facilitating effective and efficient coordination of clinic systems, including but not limited to coordinating with Social Services Manager about high risk referrals and associated workflows; clinical staff about cycle planning processes; HQ and external visitors; the clinic assitants on clinical caseload assignments, coordinate newly hired clinicians in-depth orientation schedules and track if clinical policies and/or protocols have been reviewed and signed; client scheduling and filing systems.

Programme development, planning, management, implementation and reporting:

1.Leading the development of specific programme plans within the CWTL Program for Jordan, including detailed project plans, quality standards, timeline, detailed budgets and milestones.

2.Ensure that available budgets are well managed and spent according to agreed

plans and Lead on any budget revisions and ensure the overarching program agreements are updated

3.Ensure monitoring and evaluation is integrated into programme and project design from the outset. Supervise project planning by implementing partners, ensuring M&E is integrated in project design.

4.Leads the roll-out of the innovation center, including the center design, procurement.

10.Coordinate all stakeholders and partners in Jordan, keeping them engaged, ensuring that expectations and results are being met.

11. Represent the organisation in relevant (inter)national events, networks and sector groups in Jordan.

Risk Management:

1.Respond immediately, in consultation with WC Jordan Head of Programs and the

Global CWTL Programme Manager, to any programmatic risks which arise, including but not limited to: child safeguarding, security, IP issues.

2. Provide full documentation on any situations which arise and present risks to the

program.

Human resources management.

1.Manages 8 Program Facilitators,1 IT coordinator and 2 supervisors and supporting their performance and achievement of professional goals.

2. Helping them to build their individual working plan and setting specific goals and expectations as well as provides regular feedback to them.

3.Ensures timely completion and submission of the monthly time sheets, contract extensions, interim and annual performance reviews.

4.Facilitates communication among the staff by ensuring that information ad updates are disseminated to the team on timely effective manner.

5.Leading the recruitment plan for the team, preparing the JDs, shortlisting the CVs as well as interviewing the possible candidates.
