Major Responsibilities as a Document Controller

Coordinate the activities of Document Control, including Archiving, filling, tracking and validating activities and report on document review progress.

Maintain and organize Filing System as per Standard, Develop and update Document Registries for efficient information flow & retrieval

Responding to Vendor Document Control requests and enquiries in an accurate, timely and professional manner,

Distributing and expediting supplier documentation for review and approval as required,

Undertaking document registration and updates in the Supplier Document Management System ensuring a high level of data entry accuracy,

Inspecting Vendor documentation, ensuring all documentation meets Document Control standards,

Providing support to other internal document control teams where required

Handling the vendor manuals hard copies/Soft copies submit to Client by transmittal.

Keep the log for vendor manuals received from vendor for construction phase.

Maintaining the Document Control Database for Shop Drawings/IFC and RFC Drawings, FCR (Field Change Request), DCR (Design Change Request), DAS (Drawing Amendment Sheet), NOC (No Objection Certificate), RFI (Request for Information), ITPs, ITRs, Material Submissions and Letters for Contractors/Client.

Daily routine activities of Document Control, including distribution of documents, maintaining electronic folders, tracking and retrieval of documents and drawings.

Preparation of Correspondence to S/c for all kind of Construction Documents and Engineering Drawings

Keep the track and follow up with S/C for endorsement drawings.

Download the Sub contractor Documents and update the log file. Prepare the internal comment sheet (Review sheets). Internal distribution of sub-contractor Documents for Review. Collect the comment sheet from various Departments after review.

Upload the internal approved documents in EIM and prepare Transmittals to company

Prepare the transmittal to S/C for the internal comments.

Prepare the Weekly Reports (Construction Document Overall Status, Weekly Sub contractor Document Status, Weekly internal review follow-up.)

Reporting on the performance of the document control system for review and as a basis for improvement of the documents control system.

Ensure that Project Team and contractors comply with the Document Management System process and procedures.

Job Responsibility as a Branch Operation Executive (Customer Support)

Coordinate the activities of Sales Force, including Archiving, filling, tracking, and validating activities done by the branch sales force and report on document review progress.

Check all the proposal submitted by the sales force and correct the proposal with the IRDA checklist.

Preliminary underwriting of proposal submitted by the sales force and issue the policy within TAT

Accept Filled Request with all the supporting documents from customers and branch employees and resolve these requests within TAT

Maintain Attendance Register of all the Branch employees and update it into the electronic Attendance mode

Keep all the record of Branch Activities in file format and i9n electronic format.

Maintain Inward outward Registers of the Branch.

Maintain Cash registers and keep the petty expenses and done cash management without fail

Prepare all the documents and keep ready to face branch Audit

Update computer – monitoring programs and update the status of all-important operational activities, level of operation.

Keep all the sales force Target wise achievement and inform them their current position in the company and mail these data to sales head.

Prepare Branch renewal reports and follow up them for achieve branch productivity

Prepare branch asset and stock report as on date

Provide immediate report and data’s as per requested by the immediate Supervisor
