Obtain a signed letter of investigation from the client Send sighed letter of investigation to current insurer Once a copy of the current copy of policy has been obtained check all vehicles most current retail values and adjust according taking in to account any extras that may be installed.

Check that all security installed is adequate

In the event of a domestic use vehicle or on a domestic policy take note of all the drivers details and apply relevant discounts if client qualifies for age discounts or additional discounts for advanced driving courses as well as if an excess could be waived.

In the event of drivers under 21 or who have had their licenses for less than two years apply the additional excesses

Check on the sums insured on the relevant sections and confirm with potential client if the sums insured are still adequate. I not obtain a inventory with lastest sums insured. This is done as client might qualify for a high income policy which has better benefits, as well to insure that the client is not under insured. Check on the claims experience and identify any possible repetitive behavior or if additional security could be suggested

Once all information as been obtained send all information to all the insurers for the most beneficial and competitive quotation. Once quote has been obtained check if any additional benefits can be included like car hire, excess waiver on all sections that allow this benefit as well as if HP shortfall is required HP.

New Business

Once client has agreed to accept the new policy terms obtain a signed Letter of Appointment from the client and forward onto the relevant insurance companies as advise them of the cancellation date of the policies. Advise new insurer of the acceptance of the policy as well as the inception date of relevant polices.

Get fully completed proposal from client with signed debit order details and forward on to insurer with any supporting documentation that is required by the insurance company such as tracking device certificates advanced driving certificates or sprinkler systems installations fire extinguisher updated certificates etc.

Arrange a survey with the new insurance company and get all requirements implemented prior to inception or come to a compromise if client feels requirements are too stringent.

If our company has its own underwriting system issue the policy and forward to insurer to be signed off.

Once policy has been signed off all requirements have been met. Forward welcome pack of new policies to client along with any details or contact numbers the needs to be made aware of in the event of a claim. In addition to this advise the client of who will be dealing with his portfolio as their contact numbers.

● Endorsements on both domestic and commercial clients Endorsements

All client requests to amend the policy are actioned on the relevant systems and the insurance company advised immediately that they are on cover Cover notes are issued in the event of the purchase of assets such as machinery plant and motor vehicles and the interests of the relevant financial institutions noted and confirmed with said institutions. In the event of policy additional risk requirements due to claims or a survey that has been conducted and additional risks reduction requirements are required, 30 day notice is immediately sent to the client outlining the requirement’s as well as the time permitted to implement the changes. Should an extension be required by the client the insurance company must be notified about the required extension and the reasons why the client needs the extension. If granted the client must be advised of agreed time allowed.

● Renewals on both domestic and commercial clients Renewals

Once the policy has come up for renewal the agent handling the account should be notified within two months to enable the agent to contact the client to go see the client for a renewal discussion.

At the renewal discussions the client will be requested to advise if any changes have been carried out to the assets which they have not made us aware of ie extentions have been carried out and we have not been advised etc. All sums insured on the policy must ne increased to keep up with inflation to avoid under insurance for the oncoming renewal period All vehicle values must be revised to most updated retail values.
