PROFILE SUMMARY

Responsible for all project related & site-based personnel and administrative issues including employment status changes, mobilization, and demobilization of personal, maintenance of timesheet records, payroll generation, processing of leave applications and other related tasks.

To manage and administer all activities of facilities and general service. To coordinate with the vendors and Sub-contractors to ensure that the works are done in accordance with the regulatory and corporate requirements.

Assist in developing and reviewing various types of commercial agreements and contracts. Support day to day administration of the contracts and related matters including bank guarantees and others to ensure contractor compliance.

Responsible for providing an efficient and professional administrative and clerical service to Vice President and Directors, to facilitate the smooth operation of the office.

Maintaining, overseeing, and keeping up-to-date records of Project Documents Electronically (EDMS) and or filing hard copies as required. Control and tracking of documents and input technical revisions, perform compliance checking, filing, and organizing, documentation auditing and report on document status and distribute documents as per Project requirement.

Responsible for the full employment life cycle from recruitment, induction to exit, and for providing full administrative support to the HR Managers and Officers for Monitoring & maintaining employee records.

A successful IT Administrator with extensive analytical and software experience of investigating and diagnosing network problem and knowledge of IT operating systems, especially Windows.

Abu-Dhabi, as a Project Administrator - Administration

Role:

Accountable for providing all systematic administrative support and technical assistance in an organised and cohesive manner for the entire Project Team, including travel arrangements, meeting room bookings, assisting visitors during business gatherings and organising all events/programs/meetings for the team, etc.

Continuously updated and maintained the data contained on the Manpower Loading charts are entered on the system Mobilization/Demobilization charts as and when required.

Process mobilization of personnel to and from project site locations. Obtain and process required documentation that include passport details, visas, invitation letters, immigration documents, Safety and Security equipment & procedures, travel tickets and other travel documents.

Develop an effective filing system for project key documents.

Create and maintain project team technical documents and organisation charts (MS Visio).

Coordinate with payroll team of project personnel, identify, clarify, and resolve payroll issues including working hours, incomplete time sheet, leave, and ticket entitlement, absent, overtime and other payroll details.

Arrange to issue and renewal of Optima card, Security pass (CNIA), third party certificates and other relevant legal documents.

Prepare leave schedule, process leave application, provide international ticket, arrange leave settlement and charter & boat booking of the work team.

Assist in interviewing, training, scheduling, and distributing work to other staff members and temporary workers.

Organizes and implements administrative systems and procedures performing necessary support duties. Maintain coordination with Sub-contractor management and concern Supervisors.

Provide general administrative work such as action sheets raised, review and process pre-employment travel expense claim, invoices, vouchers, petty cash /bill & per diem payment etc. log payments to ensure that multiple payments are not made.

Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored.

Perform accounting tasks, including budget tracking and assist in expense filing.

Has responsibility for several or all the following functions: office clerical and support functions, mail and messenger services, telecommunications, maintenance, purchasing, security, personnel records, invoicing entry and mailing, inventory allocations / movements /entries, petty cash, check writing/disbursements, and travel bookings.

Coordination of new starts within the project team, ensuring desks, IT Equipment, phones, mobiles, etc. are allocated in a timely manner.

Acting as IT Helpdesk to assist on all IT requirements (installation, configuration, etc.)

Responsible for administrative task such as courier shipments, IT & Office and Pantry Supplies requisition and maintenance, etc.

Support and coordination of all project requirements.

Assist, when necessary, to accounts payable, reconciliations, back charges, and field invoices.

Coordinating with the other members of the team in maintaining and updating project related records such as reports, material stock lists and inventory etc. as per requirement.

Track site assets maintain asset lists on relevant project sites, update lists on a monthly basis.

Perform other duties are required by Supervisor & Client personnel.

Sep’14 – Jan’20 PETROFAC EMIRATES LLC, Offshore UZ750 ZADCO Project Abu-Dhabi, as a Field Administrator - Administration

Role:

Keep personal records for all employees and update, as necessary. Process visas, permits and other personnel documentation.

Prepare correspondence, excel spreadsheets, power point presentations and meeting materials as directed.

Conduct personnel travel arrangements efficiently (visa requirements, tickets, hotel bookings, transportation etc.).

Develop and maintain daily site reports including Manpower report, travel advisory, POB, etc. Coordinate daily with camp administration team to issue the daily Camp and man-days report where records must tally with Administration records.

Coordinate with camp and catering team for personnel accommodation and catering requirements are being implemented in line with project policies and requirements.

Assist with all local travel bookings and coordinate with mobilization team on travel requirements. Ensure all travel requests are approved prior to booking travel.

Supervise the administration and services staff for development, management, and maintenance of office premises and supplied with all required stationaries and office equipment.

Control proper medical support arrangements are well set up to ensure speedy and professional coverage is always available to address employees’ medical requirements.

Handling employee enquiries & grievances on administrative and HR issues, clarify queries and resolve personnel related problems as needed.

Complete and maintain the demobilization appraisals (DAF) and site clearance forms for all personnel getting demobilized from site and to returned to all the company property to site prior to demobilization.

Coordinate and assist to new employees joining site, to attend site induction and arrange their office space, IT equipment, office supplies, system access cards, mobiles, personal space on camp and transport between camp & site.

Maintain administrative policies and procedures for site locations. Engage in activities pertaining to setting up of new project sites.

Organizes and schedule project meetings and maintain allotments for the conference room. Record minutes of the meetings and keep a clear record of the activities.

Liaise with different department heads and project management to obtain manpower needs, raise MPRs and maintain the mobilization/ demobilization.
