• Request dummies and samples from suppliers and send through the necessary specifications.

• Draw up orders (new and re-order, SA and USA)

• Draw up Excel order for SA & USA orders - ensure that all special instructions regarding shipments, packaging etc. is included on the Purchase order

• Keep record of completion and ETD dates for all SA & USA orders

• Keep record of files sent and approvals received

• Receive Shipping Docs, check for correctness. If docs are correct and all documentation has been received - Price Check/ Receiving.

• For SA: Check for correctness and send Finance department for payment

• For USA: Check for correctness and send copy for Receiving and to Finance departments for payment. Keep record of docs given through to price check& receiving.

• Check all contracts that supplier sends before the shipment of each order - check for correctness against the Purchase Order, as well as against the Specification Sheet for each title on the Purchase order. Also check the Carton labels for correctness. Once all is confirmed and correct print and take to signed. Scan and E-mail copy of signed contract to suppliers.

• Received all parcels sent by suppliers containing Advanced copies, Dummies, Proofs. Send E-mail to the relevant parties informing them of the items received and take these items to them.

• Sign off the courier docs and take to support services for processing.

• Kept Record of all Advanced copies received and give through.

• Received documentation from the Warehouse with the calculated Landed cost - compile a spreadsheet. Send the Excel spreadsheet with information to retail to confirm prices. If there were changes to the Retail Price of certain items, I will send an E-mail to the relevant parties (Warehouse) to inform them of these changes.

• Complete the Confirmed Retail prices on the Shipping Docs and return to the Warehouse for processing.

• Filing was done daily and accurately.

• Archive all finalized orders and keep record of these files

• Making backups of files to CD/DVD discs.

• Sending out of all new and reprinted books to overseas publishers/authors/translators and forms for libraries

• Download and print PDF files from overseas publishers when requested
