• Completing of Board Reports for our Kenya, Zambia, Namibia and South African branches

• Customer Relations Maintain high standard of communication skills with all internal / external customers

• Maintain security by following procedures

• Maintain notice board updates, photocopier area and storeroom

• Assist with administration task on trial seed, Department of Agriculture applications and ad-hoc requests as and when requested by Senior Buyer/Procurement Manager

Maintain BBBEE records:

• Receive BBBEE certificates from Buyers and Procurement Manager to upload documents on system

• Follow up weekly/monthly on expired and request new certificates

• Prepare schedule for annual audit

Management of Switchboard:

• Receives all incoming calls promptly, efficiently and professionally

• Ensures the successful transfer of calls to the relevant person / department

• Distributes messages as soon after receipt as possible and follows up and provide feedback as and when required

• Routes all outgoing calls to the desired third party as requested

• Attends to any queries regarding the telephone service, e.g. new members, testing of numbers

• Report any malfunction of equipment as soon as it is detected

• Maintain employee, department, and company directories Process GI’s as and when received:

• Ensure goods received of non-stock and stock items are undergone the GI process

• Send payment documentation to Finance Department timeously

• Assist in resolving queries

Reception/Customer Service:

• Receive walk in customers and visitors in a courteous and friendly manner

• Promote a professional and friendly environment in the reception area to ensure a positive image of the company

• Fully co-operates with all departments within the Company in the execution of their duties

• Receive parcel/s and post, acknowledge delivery, and distribute post/parcel to relevant person
