JOB DUTIES:
• Operates telephone system
• Greets all visitors courteously, determines their needs, and directs them to the proper person
• Picks up, sorts, and posts all incoming mail from U.S. Post Office, courier services, etc.
Receives all outgoing mail daily, adds postage, and sorts for appropriate delivery options.
• Maintains postage machine (funds available, updates, etc.)
• Delivers any and all packages delivered via Fed Ex, UPS, DHL, etc. to employees work stations. Prepares, sends, and tracks FedEx mail, and verifies shipments as received.
• Check office supply inventory daily; order and restock as necessary. Organizes overstock supplies. Reviews vendor listings to obtain best prices. Orders business cards.
• Receives and distributes faxes and e-mail messages throughout the work day to appropriate employee. No faxes should be left lying on the counter.
• Makes any necessary travel arrangements for employee business trip – hotel, car, and airline. Maintains a calendar for anyone out of the office.
• Schedules and sets up conference rooms for meetings and orders lunches for meetings.
• Communicates weekly safety training via email and tracks acknowledgements.
• Codes invoices and credit card receipts for Accounting.
• Restocks printers and calls in maintenance requests.
• Assists other departments with administrative tasks as requested. * Performs all other duties as assigned.
