Job Responsibility: -

Self correspondences, telephone receiving, taking brief from Boss, daily reporting of office activity to the Boss, either he is in the office or he comes from outside of the office daily, weekly and monthly reporting of the office activity, giving appointment to the visitors etc. Manage daily uploading and downloading of correspondence, drawings, transmittals and other documents.

Daily report to provide the financial position of the concern, and some of the urgent payment details of suppliers to run the concern smoothly. Update all payment type of summaries for payment, such ach suppliers, government related expenses such as electrical invoices, telephone invoices, Iqama renew etc. Coordinate with suppliers regarding the payment budget, some of the important materials not make delay for payment then easily by processing their invoices. File, Copy & Scan all project documents as per document controls procedure. Upload and distribute documents to relevant parties on project site in accordance with the document distribution by email or manual by copy .Analyzing and comparison the price of materials and we prefer the suppliers to known the materials in good quality and price is sufficient to cover the Co. procedure.

Coordinate with consultant and client for contractor submittals’ approvals. Support organization- wide Project Management Information system. Follow the policy and procedure of the concern to do better achievement of the Co. and with others department. Coordinate with the other department and our department which operating from site to provide them materials on time to avoid the delay of work.

Follow up and expedite priority items with relevant managers, engineers, consultants and contractors. Manage daily uploading and downloading of correspondence, drawing, transmittals and other documents. Daily provide Bank balance report to our Boss for easy to take decision for payment of suppliers or others site. At last we maintain the personal file of our department employees belong to site of head office to keep them recording regarding the all movement of concern.

Professional Experience:

Meet with clients or the important suppliers regarding their outstanding of invoices to prefer them for payment through Co. policy and procedure. Advise our boss to payment of suppliers for timing of schedule of their release money and materials need urgent by site.

Provide the payment details of suppliers daily and monthly to know very easy regarding the payment of some supplier, monthly report. Monthly payment of employee salary through payroll and some of the allowance included in payroll to know the actual payment of every month on employee salary, some of the payment to employees by voucher also requires checking in system to avoid double payment.

Monthly report regarding the payment of suppliers which are not important of materials. Present and introduce of the new suppliers, regarding the cheapest rate of materials under good quality. Personal Information:
