Reporting to the Senior Project Managers, Operation Manager, General Manager – On Site and Off Site

Supporting Project Managers in the execution of a project on the Emergency Response Management Systems.

Managing successful relationships with sub-contractors and associate contractors.

Working closely with Senior Project Managers & Site Managers to support the successful development and implementation of project schedules.

Updating and maintaining project schedule as per customer requirements through interfacing with the Project Managers and other team members.

Facilitating on-time and efficient completion of projects by understanding critical activities and alerts.

Tracking and reporting labor, material, and project costs.

Accessing schedule risks, opportunities and feed information.

Maintaining Managers’ schedule, booking meeting and appointments.

Handling Managers’ personal, business correspondence, including emails and memos.

Coordination with export and local project Managers, Project Staff, Logistics, Store, Dept. Heads & all concerned personnel.

Responsible for daily/weekly/monthly reports receiving, reviewing and distribution to the Management and Superiors.

To attend and record the proceeding at all internal technical meetings and distributing to all concerned. Handling self Correspondence to Main contractor, Consultant, Suppliers, Sub-contractors and its documentation and monitoring. Reception & Telephone answering.

Adherence of Company policies and procedures. To convey the Management's decisions to the site staffs & artisans to avoid any adverse effect. Providing recruitment assistance to Installation Dept., to deploy staff to the project management team. An overall co-ordination required for the project. Tactful handling of problems to avoid Project Manager's involvement in small issues. Supervision on Site store and Time keeping activities.

Carry out the frequent site visits (local projects) to ensure the proper documentation of the controlled and latest / approved version of documents. Conduct trial audits prior to ISO auditing. Carry-out self correspondence with Main Contractor / suppliers/ subcontractors with the direction of the Superior. Proper filing and documentation of all project related documents and correspondences. Taking the minutes in the internal technical progress meeting and its distribution to the concerned.

Supervise, Coordinate, issue and update all project related documents vendor / design documents, including but not limited to contracts, project drawings, correspondences and reports to ensure all concerned parties having the latest version of such documents. All these submissions are making through online documentation system.

Shop & As Built drawing submissions, Controlling and distribution of commented drawings to the concerned.

Examine the documents and specifications to verify completeness and accuracy of data. Confers with the document originators to resolve discrepancies and complies required changes with documents. Submission of documents and distribution of upon the receipt of comments.

Verifying the vendor / suppliers prequalification documents and drawings prior to make the submissions. Ensure the proper receipt of commented documents from the Consultant and notify the project management for the needful action.

Direct / incardination with suppliers / Sub-contractors for inquiries about product confirmation, changes or cancellation.

Follow-up for the suppliers/ Subcontractors payments with Purchase and Accounts Departs.

Contact Suppliers / Subcontractors in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.

Compare prices, specifications and delivery dates in order to determine the best product(s) among potential suppliers.

Maintain log for Technical / Material Submission, Drawing Submissions, RFIs’, LPOs’, Variations, Payments, Site asset, Plant & Tools schedules. Preparing notification for Variation Orders.

Providing assistance in recruiting and sourcing staff, following with Admin./HR Dept. for visa related activities, works permits, residence permits, driving licenses, vehicle registrations, passports and its renewals. Leave applications / travels arrangements to all employees. Travel arrangements and Hotel bookings to Managerial staff. Furnishing medical care to all staff at the required level and keeping records.

Keeping and maintaining files.
