Reason for leaving: Resignation

Duties:

Manage the diary of the DDG:- Manage all appointments, acknowledge receipt of emails and assist where necessary, arrange meetings, manage the calendar of events for the DDG and the branch and also manage boardroom bookings.

Provide logistical support to the DDG:- Prepare presentations, agendas and meeting packs for all meetings of the DDG. Arrange travel and accommodation for the DDG, and help with visas for international trips. Order stationery and all office supplies for the office. Provide Secretariat support: Take minutes, keep record of all action steps taken at the meeting, make a follow up and ensure that deadlines are met.

Document management:-Keep records of all incoming and outgoing documents. Ensure safekeeping all the documents and files.

Co-ordinate and consolidate reports from all five (5) chief directorates for submission to the office of the DG. Assist to prepare briefing notes and responses to parliamentary questions, check quality and use of correct format before submission.

Manage the budget of the office, petty cash, prepare and submit S&T claims, arrange advances, ensure that service providers and rental of all leased equipment are paid on time, keep all financial records and ensure that the office does not go over budget.

Ensure that the branch is operating within the policies of the department (HR, Finance, procurement and IT);

Manage the flow of information from the office of the DDG within the department, to other departments and our stakeholders. Ensure smooth operation in the office of the DDG.

Position: Executive Secretary to Chief Director

Duties:
