RESPONSBILITIE: HOTEL DUTY MANAGER & Front Office Reception RESARVATIONSIT

(CURRENT POSITION)

● To ensure effective and efficient daily operations by Front Office Department

● Take responsibility for Front Office and staff.

● Achieving maximum occupancy.

● Check daily posting on Night Audit reports.

● GUEST ledger balance reports to be monitored daily.

● To ensure that all direct bills are 100% accurate before transfered to account payable or

department

● Check all conference main account to ensure all positing have been done.

● To ensure that the banqueting coordinator at all times liaise with Front Office and Resavations

regarding booking for groups and conferences.

● COMPLETE the Duty Managers check list and follow up on any problem areas.

● To ensure that the company credit facilities regarding debtors are adhered.

● To ensure that all travel arrangement visa and accommodation for clients are booked

accordingly.

● To ensure all board rooms and conferences room are up to date for meetings

● To ensure all AV equipment and client request is appropriate

● To ensure that prompt and courteous check-in and check-out.

● Checks the daily arrival list.

● To ensure that all board rooms and conference room are booked accordingly.

● Welcoming customers.

● Responds to customer requests for information about the hotel and its surroundings.

● Arranges for special services requested by the customer.

● Allocates rooms and issues appropriate keys

● To ensure that direct billing is properly done.

● Follows-up and verifies arrivals by updating registration cards regarding spelling of guest’s

name, address and method of payment.

● Handles incoming guest room reservations.

● Handles reservations for guests with rental cars, restaurants, etc.

● Is aware, at all the times, of current room status and room availability.

● Is fully aware of the relevant service concepts.

● Is fully aware of, and knows how to handle, all current and future hotel promotions.

● Increases hotel revenue by promoting food and beverage alternatives within the hotel.

● Minimizes loss of revenue by adhering to all established credit procedures.

● Insures all guests establish credit upon check-in.

● Monitors customer accounts to insure adherence to hotel credit limits by completing high

balance reports and verifies accuracy of registration information.

● Receives proper approval codes for cash and credit card paying customers.

● Identifies and records special billing instructions and notifies accounting and Manager.

● Completes shift closing accurately by getting appropriate approval signatures and authorization

codes.

● Adheres to hotel policies regarding the use of cash banks.

● Communicates effectively with guests, colleagues, and supervisors.

RESPONSIBLITIES : General Manager

● Supervises and participates in the prompt and courteous check-in, check-out and servicing of

guests.

● Records in the log book any incidents occurred in the hotel and follows-up with the department

concerned.

● Communicates open and closed dates, availability and condition of rooms to appropriate

individuals.

● Knows current rooms availability, and is familiar with future availability

● Keeps effective key control.

● Ensures that guest mail and messages are delivered promptly.

● Controls room rates and brings rate changes in the attention of the Front Office Manager.

● Oversees the proper handling of advance deposits.

● Runs a credit check report and analyses it for possible doubtful accounts.

● Checks that discounts, billing instructions, and credit policies are followed, and takes action

when needed.

● Authorizes paid-outs and discounts.

● Makes sure Front Office employees utilize yield management to maximize room revenue.

● Checks the daily arrival list, and makes necessary preparations if hotel is sold out.

● Informs the Front Office Manager on VIP guests and returning guests and follows-up on VIP lists

and room blockings.

● Orders VIP gifts for the following day’s arrivals in the absence of Department Heads, takes

disciplinary action when required. Follows-up with the applicable Department Head.

● Investigate all walk-outs, and complete relevant forms.

● Deals with all incoming telefaxes and telexes after office hours.

● Completes all forms in cases of accident or theft in the hotel during the shift.

● Brings needs for repair to the attention of the Front Office Manager.
