Recruitment and Selection

• Timeously staff all vacant posts

• Identify recruitment needs and recruit staff in conjunction with Management.

• Ensure that the recruitment authorization forms are completed and authorised for every vacancy.

• Advertise positions internally and externally.

• Screen CV’s, schedule and conduct interviews with relevant Managers

• Conduct relevant reference checks on successful candidates and complete the required recruitment checks such as ID verification check, criminal check and qualification check.

• Regret unsuccessful candidates by letter.

• Compile the relevant recruitment documentation for approval from Head Office.

• Extend employment offer to new appointments upon approval.

• Prepare, issue and ensure receipt of signed employment contracts.

• Coordinate and manage the orientation of new employees, probationary reviews and employee evaluations.

• Create staff files with all relevant documentation for new appointments including the arrangement of uniform letters, name badges and the relevant IT requirements.

• Ensure that all Employment pack documentation is filled in correctly and that it is submitted back to Human Resources complete and on the time.

• Ensure that the establishment Report is updated monthly’ and that recruitment is aligned to the staff requirements listed.

Employee Relations

• Ensure that all disciplinary procedures are adhered to.

• Advise line managers on appropriate disciplinary action to be taken.

• Draft warnings and charges for notices of a disciplinary enquiry

• Ensure that all disciplinary charges are authorized by the Group HR Manager

• Schedule disciplinary enquires, attend the hearing and record the proceeding.

• Ensure that all outcomes and sanctions are signed off and that the appropriate outcome is given.

• Provide counselling to staff in conjunction with line management.

• Ensure that grievances are resolved within the given timeframe and that the necessary action is taken.

• Ensure that abscondment letters are sent to employees who have absconded and follow up on delivery until process is completed.

Training and Development

• Identity training needs within each department and collate the information.

• Source training providers and courses for specific needs

• As required, facilitate orientation for new employees

• Compile and training plan and ensure that training plans are constantly updated.

• In line with the training Department, coordinate, support and monitor the successful implementation of learnerships in line with HWSETA requirements by ensuring that contracts and learnership agreements are completed and signed, follow up on training requirements, observing mentor/leaner interactions and assisting to resolve feedback from learners on their progress.

• Assisting employees with study options and providing advice on career planning

• Ensure that all relevant information and training documents are submitted to the Training Department on a monthly basis, including the submission of training attendance registers for all training that has taken place.

• Participate in completion of Skills Audit.

Administration and Reporting

• Complete and submit relevant HR Reports timeously

• Submit payroll documentation to the Payroll Department within agreed deadlines and follow up on queries and outstanding issues.

• Ensure that all benefit claims are processed and follow up to ensure resolution, i.e medical aid applications, pension benefit claims, Pension backed lending loans, disability claims, etc.

• Ensure proper filing and document management by maintaining a filing system.

• Coordinate and submit annual deduction information for SANC registration of nursing staff to the payroll department.

• Complete UIF documentation and attend all queries from Department of Labour.

• Monitoring and reporting on time and attendance and ensure that accurate timekeeping. Procedures are in place.

• Ensure that all relevant documentation relating to terminations are completed ie Exit interviews, Verso benefit claim, acknowledgment of debt and uniform deductions

• Ensure that leave applications are processed timeously.

• Assist employees with HR related queries.

• Co-ordinate IOD process by completing the necessary documentation and follow up regarding medical reports from employees.

Performance Management

• Ensure that performance appraisals are completed within the agreed deadlines. Data Management

• Ensure that the employee database is updated regularly ie. updating employment details of new and existing employees as well as terminated staff

People Management

• Continually develop HR Administrative Assistant/ HR Interns to understand what is expected of them.

• Take full responsibility for performance of all direct reports, motivating and managing them in relation to company policy and procedure and HR practices.

• Monitoring performance and taking corrective action when necessary
