Retail Delivery and Tenancy Coordination
Core Responsibilities:
Designated as Landlords main point of contact to manage the efficient and timely completion and delivery of retail units as per the agreed lease opening date and as per the company & industries standard.
Facilitate kick-off meeting with the Tenant and/or Tenant Authorised Representative and issue kick-off starter pack i.e. Tenant Manual, Design Guidelines, Logistics Manual, Project Specific Details and all required forms.
Records minutes of the meeting and ensure milestone dates are agreed i.e. design submissions, contractor appointment and site mobilization in reference to the key project milestones as per lease obligation dates.
Ensure Lease is fully-executed and units are ready prior to carry out physical handover to the Tenant/Tenant Authorized Representative.
Prepares and issue necessary NOC’s required for obtaining Authority approvals i.e. DM, DDA, DCD and DEWA.
Issue Site Mobilization NOC upon Tenants/Contractors completion of all essential pre-start documents (CAR Insurance, Fit-out Security Deposit, Health and Safety Induction).
Coordinate meetings, follow ups, manage and issue official correspondence to record breach in respect of agreed key project milestones (if any).
Maintain regular site visit to track and record accurate site progress against project programme.
Update tracker with current status of tenant’s fit-out progress for Senior Management information.
Coordinate with Facilities Management team for services connection and energization.
Arrange site inspection with tenant and contractor, Design Manager and MEP team upon fit-out completion.
Coordinate with assigned property manager to ensure smooth transition of tenant space to operations.
Ensure all required Authority inspection and approvals including all 3rd party inspections are secured and all mandatory pre-opening documents are achieved prior to issue Permission to Trade Form (PTT) for Tenants sign- off and further circulation for Senior Management final approval subject to settling of Late Opening Penalties
(if any).
Fit-out Management
Secure requirements prior to work commencement i.e. settlement of applicable fees, safety induction, insurance, security deposit, statutory/government permits and relevant access work permit with necessary hoarding requirement arranged and installed on time.
Monitor construction progress by conducting regular site visits, highlight and follow-up action needed to expedite and re-align work to avoid programme delays, raise health and safety issues or violations, if any.
Attend regular action meeting to ensure awareness of all aspects of the project especially on issues of risks that may potentially cause fit-out programme delays.
Maintain accurate fit-out progress status report, produce fit-out completion history for record and invoicing of applicable late opening penalty charges.
Inter-department Coordination
With Leasing Department/Asset Management Team: Verify lease terms and conditions, forward lease related issues i.e. site discrepancies and constraints, confirm tenancy status with non-cooperative tenants and other issues that may impact unit’s lease opening date.
With Technical Team: (Design and MEP team): Arrange design meeting. Conduct site inspection and clearance to ensure contractor’s workmanship and installations are in accordance with approved design and specifications.
Health & Safety Department: Arrange Health & Safety induction schedule, implement HSE protocols, PPE, hotwork permits procedure and other required aspects related to safety.
Finance Department: Forward fit-out construction security cheque, CAR insurance payment, temporary services and TVR payments. Process refund or return of security cheque upon satisfactory completion and clearance of unit’s fit-out snags.
