Coordination office

Under the supervision of the HR Coordinator, manages the files of expatriate employees and liaises

(written and oral) with headquarters and the travel agency (located in Amsterdam) to ensure the planning of activities.

Plan and implement expatriate Briefings and Debriefings (at coordination and headquarters) and handle end-of-mission formalities with expatriates.

Collect photos and information for making ID for new IS.

Support and guide national and expatriate employees in the business travel process (obtaining visas, travel planning, correspondence with headquarters, etc.)

Responsible for purchasing all flight tickets for all mission staff as well as hotel reservations (local and international);

Responsible for preparing the per diem for international or domestic travel as well as for visits by staff from headquarters or abroad.

Responsible for the planning of all mission movements: to and from the airport & to and from Artibonite;

Provide staff with administrative information (meetings, etc.), assist the HR coordinator in translating documents into the local language (English to French, Spanish to French, etc.) and attend meetings on request.

Prepare and print certificates for training courses.

Organize the selection of candidates for training and register the candidates selected for training activities, follow the training (attendance, communication with the administrators concerned, to ensure registration in Homer, homework, etc.) and support the HR coordinator in evaluating the results to improve the return on training expenses.
