Major Duties and Responsibilities
Preparing budget of the organization;
Provide efficient and effective administrating support to all programs that are carried out in the organization;
Prepare and submit regular and annual financial and admin. Activity reports to organization, Donors, concerned government bodies and other stakeholders.
Responsible for procurement and administration of fixed assets;
To perform and promote organization’s objectives with respect to organization’s operational, Personnel & other manual;
Responsible for all aspects of project admin. and personnel mgt, contributing to the full capacity functioning of the organization towards the effective implementation of the quality service;
Ensure transparent and accountable financial practice in line with organization’s financial policy and accepted financial requirements.
Responsibility – in financial aspect
Make sure that all fund from different sources are collected & budget is available on time and spend as planned;
Ensure that the cashbook up-to-date at all times with records of all expenditure and verify the same with regular cash counts while keeping the receipts clearly labelled.
Responsible for all cash transfers, the bank account transactions and withdrawals into the safe and cash box.
Ensure the preparation of monthly payments of taxes to the relevant authorities.
To review cash counts and bank reconciliation.
Monitoring the organization expenses (Project related expenditures, personnel related payments, utility bills, etc.)
Interpret the Budget Vs Actual to the Executive Director in conjunction with the financial procedures
Responsibility – in Administration aspect
Manage all aspects of the organization administration Including recruiting, induction and staff capacity enhancement and monitoring of staff movements etc.
Make sure that all the bills are paid, discussing and sorting out any problems relating with property and other logistics issues.
Responsible for the overall administrative issues of the organization and ensuring that systems are clear and in place for the benefit of the whole team.
Take the lead in recruitment for new positions in collaboration with HR clerk. (Job description development with relevant departments, advertising job description, short listing candidates, scheduling interviews, etc.)
