Job Responsibilities:

• Assisting CEO’s in all official matters

• Transferring of salaries to WPS system by making and updating the files of additional staff

• Making of payroll, salary slips and reconcile income statement on monthly basis

• Keep updating records of office expenses and costs such as petty cash

• Maintaining of the biometric attendance for all the office staff

• Feeding and abstracting employee’s data from biometric device through fingerprints

• Multitasking and time-management with the ability to prioritize tasks

• Collection of the required documents and coordinating with PRO for visa process

• Applying visit visas and extensions as per the instructions of the management

• Recruitment of staff through online advertisements via different portals

• Scheduling Interviews and coordinating with the managers

• Preparing of the Offer letters and employment agreements for newly joined staff

• Applying the Insurance for the employees as per UAE labor law

• Managing and downloading all call records through PBX system

• Preparing daily performance appraisal reports via CDR system to evaluate the performances of the staff

• Keeping the confidential documents of the company in a proper way

• Provide basic and accurate information in-person and via phone/email

• Maintaining all the original Invoices for VAT submission

• Ensure reception area is tidy and presentable

• Keeping check and balance of all necessary stationery and Pantry items

• Receive, sort and distribute daily mail/deliveries

• Maintain office security by following safety procedures and controlling access via the reception desk

• Assisting with a variety of administrative tasks including copying, scanning and making soft files for the employees

• Preparing meeting and training room

• Assisting colleagues with administrative tasks and Performing ad-hoc administrative duties
