Key Result Areas:

I) Induction & Orientation:

Facilating Induction & Orientation of new employees. Introduction the new joiners to al HOD’s.Update Induction Manual as and when required.

II) Training & Development (Staff & Workers):

Preparation of Annual Training Calendar in consultation with the respective head of the department.Finalalization of the Modules in consultation with the head of the department. Training Need Identification of the Group of employees or the individual employees as per his job profile. Scheduling and conducting completion of the training as per Training schedule/calendar. After competition of the training evaluation & feedback of the training and finally maintaining each employee Training Matrix. To ensure that proper filing of training records made available as and when required. To coordinate behavior trainings for employees.

III) Recruitment & Selection / Talent acquisition:

Recruitment for NGO. Manage end- to –end of employee Life Cycle. Manpower Planning in Close Co-ordination with the different stake holders, and getting approval as per Manpower Planning from the approving authorities on manpower requisition form and thereafter planning of recruitment as per the requirement at all the levels in the Organization .Sourcing of candidates by using Job Portals such as Naukari.com & LinkedIn, Placement agencies, Employee referrals etc. Conducting interview with Internal Stake holders, Salary negotiation and following up with candidate till joining.

IV) Joining & Separation formalities:

Completion of joining formalities like filing of employees master data and updating of the employees master data. To maintain Individual personal files with record of Appointment, joining, confirmation, promotion, transfer, relieving. Conducting Exit Interview based on set dimensions for analysis. Preparation of full & final settlement of employee. Ensure full & final settlement is paid.

V) Payroll Management:

Responsible for Time office function by using “HRIS System. “Access control by using tool. Monitor the entire attendance tracking process. Forward the statement to account for payroll processing.

VI) General Administration:

Coordination with vendor & renewal of Managing Transportation, Security, and Medical facilities.

Handle Contract Labor Management (releases, renewals and closers).Cross checking of bills related to HR & Admin.

PR creation for material procurement & Service PR entry in HRIS System. To perform HR Audit.

To ensure proper housekeeping and cleanliness in maintained. To ensure that all employees Annual Medical Check-up done as per schedule. Travel Management (Transport arrangement, Hotel booking, Guest house booking).Preparation of required SOP for the departmental and necessary changes and amendment in the current departmental SOP’s.

VII) Statutory Compliance:

Submission of all statutory returns (Monthly, Quarterly, Half Yearly, Annually) under various Labor Laws. Licensing with Government Official (Registration, Renewal).Dealing with Labor office, DISH office, PT office, dealing with local Municipal authorities etc. Maintain Statutory Registers as per various Labor Laws.

VIII) Employee Relation:

Ensure cordial relation with employee. Grievance handling of employees. Disciplinary Actions against Misconduct such as Issuance of Warning letter, Show cause letter to employee.

IX) Employee Welfare and Engagement Activities:

To celebrate every month the common birthdays of employees in a common forum. Celebration of various days such as Women’s Day, World Day, Engineering Day etc. Arrangement of Staff Picnic. Arrangement of fun activities. CSR activities –Arrangement of Health Check-up Camp, Conducting Blood Donation Camp, Distribution of books in village.

X) Policy Implementation:

To ensure adherence to HR Policies, to update the policies with other HOD’s and management as and when required, to communicate the same to other employees.

XI) Performance Appraisal:

Effectively driving the PMS exercise for all employees. Annual Performance Assessment Review of employees with their respective HODs and finalization of the Appraisals. Communicate the PMS procedure and timeline. Preparation of letter, entering new structure in payroll software. Calculation of arrears and distribution of letter.

XII) Audit Preparation & Audit Exposure:

To ensure record of Training records, Medical Checkup, Specimen Signature, Cleaning record, Pest Control etc. for Audit. Looking for QMS (Quality Mgmt. System), ISO Documentation of HR Dept. HR & Admin activities.
