Job Profile :

Vendor management – Liaising with the vendors (service providers) for the required manpower that is being agreed, bills submission and checking of the same before payment, renewal of AMC as and when it gets over.

Manpower management – security, housekeeping, electrician, plumber etc working as per the agreement and checking their attendance. If biometric system is in place to help in keeping the in and out timing of the manpower.

Member’s complaints – Attending promptly and resolving the issues. If any other matter that needs Managing Committee’s intervention bringing it to their notice. Complaints could relate to billing, leakage, parking issue etc.

Member’s collection in the system on receipt of the cheque or NEFT. Banking the cheques on daily basis and keeping the passbook updated at all times. Reconciling the collections against member’s dues.

Correspondence with vendors, banks, Registrar, Builder etc done after getting the matter vetted by MC. Issuing NOC and other letters to the members as and when required with prior consultation with MC.

To look after all office management related files and ensure proper correspondence statistics mostly maintained in computer and with the members.

Tracking Leave n License timely reminders for renewal with a copy to MC.

TDS and GST compliance : Follow up with respective consultants for timely returns. Payment of Property Tax, Electricity, N.A. Tax Water bills will be taken care off. Preparation of vouchers for all payments made and getting the signature of the concerned MC members i.e. CST (Chairman, Secretary, Treasurer).

Updating files like ‘I’ register, ‘J’ register, share register and Nomination register

Filing and keeping records of all correspondence, Inward &outward reference number will be maintained.

Preparation of agenda of Managing Committee meetings and sending the same to the Managing Committee. Preparation of minutes and circulating to the MC members for finalization. This holds good for monthly meetings, SGM and AGM.

Preparation Maintenance Bill as per Bye Law # 67. How to arrive to the 7 account heads viz. Sinking and R&M funds and Insurance which are based on per sq. ft. basis and Maintenance Charges, Water. Electricity and Education and Training Fund which are on common basis

Preparing vouchers, receipts, maintain petty cash, fill up bank slips, manage investments and renewal of FD on maturity.
