Document Controller

Working with the Project Manager, Project Engineers, Designers and site team to provide Document Control and Administration support, some of the tasks include:

Support project team requirements e.g. client communication, financial documentation, library and SharePoint set up

Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and correspondence. Input document data into the standard registers ensuring that the information is accurate and compliant with Client requirements Ensure all controlled copies of latest approved project documents and drawings are disseminated to the relevant teams and third-party suppliers.

Maintaining electronic multidisciplinary drawings and technical documents using the software Aconex, Newforma, Assai. Pronet and SharePoint.

Technical Advisory and Asset Valuation Services KSA (2018– 2020) Directly report to the Project Director and Senior Projects Manager. Maintains and manages the project documentation. Act as general administrator in the project team providing secretarial jobs such as; drafting outgoing letters, invoice letters, variation letters etc. Assists in the preparation of invoices for the project team. Checking expense claims and invoices for business trips. Arrange business travel and accommodation of the project team. King Abdul Aziz International Airport Jeddah KSA (2012 – 2017) Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence. Input document data into the standard registers ensuring that the information is accurate and up to date. Generate the various document control reports as required. Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable. Maintain updated records of all approved documents and drawings and their distribution clearly. Maintain the files and control logs as required by the project. Uploading and downloading electronic multidisciplinary drawings and technical documents from Assai and Pronet. Maintaining separate filing and record system for submittals, correspondence and drawings.

Central Market Redevelopment Project (Aldar Property PJSC) Abu Dhabi, UAE (2010 - 2011) Reports to the Project Director and Project Managers. Managing calendars, scheduling meetings and conferences, coordinating meeting arrangements and arranging travel schedules and reservations. Organize internal and external events. Handle incoming and outgoing mail and other material. Set up and maintain filing systems. Liaise with internal and external contacts. Coordinate the flow of information both internally and externally. Prepares weekly timesheet (WSA) and monthly timesheet for Aldar.

Dubai Metro (2008-2010)

Perform functions related to project document receiving and transmittal, safekeeping and updating of project documents, document imaging, reproduction and distribution. Worldwide Self Driving Transport Challenge (RTA) Dubai UAE (2017 – 2018) Ensures that client requirements are implemented. Proactively participates as a project team member as necessary to accomplish the goals of the project. Provide full administration support to the project team. Reports to the Project Director and Project Manager. Managed filing and distribution of incoming and outgoing project correspondence. R949 Dubai Promenade Runway Project (RTA) Dubai UAE (2011 – 2012) Directly reporting to the Resident Engineer and Project Managers and Director. Maintaining job files and correspondence, ordering and sending drawings, tracking all documentation. Maintaining a register of all incoming and outgoing mail, stamping and recording of mail before circulating for distribution to the Engineers and Project Manager as set out in the Project communication and document control on BMS. Correspond to the specific comments from the Engineer’s Design and Shop Drawings, Non-conformance Request, Inspection Request, Material Inspection Request, Method Statements, Material Approvals and various Field Change request. Prepares weekly and monthly timesheet for the Client - Roads & Transport Authority (RTA). Coordinates with the HR and main office staff.
