2.Duties and Authority Assigned:

Administer programs approved by the Office Bearer’s to promote and protect the welfare of the Association goals.

Prepare reports and agenda for board meetings, annual membership meetings, and other conferences or special meetings designated by Executive committee.

Be responsible for having minutes recorded of all meetings of the board of Office Bearer’s or other designated meetings of official bodies of the association.

Develop and recommend new policies or changed policies for consideration by the directors and membership.

Prepare and submit for the Office Bearer’s consideration an operating budget for the Association for next fiscal year, and maintain and administer proper accounting procedures for the receipt and disbursement of funds.

Collect and disseminate all appropriate information that will be beneficial to members’ business or professional activities.

Hire personnel necessary to carry out association programs and services.

Inform Office Bearer’s on unexpected changes affecting the office daily operations, profession, or community.

Assume full responsibility for purchase of equipment and supplies necessary to maintain and carry out the association’s operation.

Originate and carry out a program of membership solicitation and retention.

An uncertain amount of money is must utilize by associations through grants made by private endowment institutions. All around Tamil Nadu that gives grants for worthy projects.

To obtain such a grant from a donor foundation, the grant request must fit within the scope and purpose of the giving Seminars.

Writing a successful grant application takes a great amount of research. Start by writing a letter to the person specifically in charge of reviewing grants. The proposal for a grant should be positive in tone, brief, and sufficiently documented and supported with facts.

1.Employees canteen’s-

In a face-to-face manner, prepare a daily report on the taste and quality of food from the employee’s complainant, and briefly explain the problem to the cafeteria vendor and its team.

Check the environment in terms of Hygiene & Sanitation of the canteen kitchen/dining area/gas storage and dishwashing area/boiler room, and ensure that all areas are maintained in accordance with the policy and updated in the daily log.

Check the cleanliness and personal hygiene of canteen workers every day.

Make sure that the daily amount of grocery items reaches the canteen vendor in order to prepare food on time.

Arrange food counters in advance to avoid confusion.

Make sure to clean the hand washing area and clean the drain.

Make sure that the hand sanitizer dispenser contains the appropriate (soap/soap oil) chemicals filled.

Check the suggestion box and update it.

Display improvements based on the best suggestions and actions on the bulletin board.

During the service, display the menu on each Bain-Marie and supervise the dining area of the canteen to ensure that there is no confusion between vendors and employees.

If for any reason changes in menu, all employees must notified of menu changes via email via the bulletin board, then all senior management and department heads will also be notified.

Lead the canteen committee as chairman, ensure that service provider increase the attention of employees, and make new suggestions to senior management for further improvement.

Announced that the Canteen Committee held regular and share minutes with the top management, and on all bulletin boards, with the signatures of the members of the committee.

2.Organization management of the office areas:

For high-level management meetings, the department expansion and manger spaces and furniture are arranged in advance.

3.Safety and fire defence system supervision:

The safety team will inspect the fire extinguisher once a month and ensure that the fire extinguisher has been replaced and confirm the condition of the equipment.

With the help of the security department, provide simulation exercises to extinguish fire protection equipments/how to use fire hydrants/how to perform fire alarms/first aid, etc.

Record training and conduct maintenance for review.

4.Factory vehicle management:

Maintain factory vehicles/buses/trucks/ambulances/two-wheelers, and provide regular services on a regular basis.

The designated airport transfer service can meet the needs of foreigners and other emergencies.

Maintain the condition of all regularly serviced vehicles.

5.Formulating arrangements for meetings and parties:

Collect meeting information from all departments and reserve meeting rooms, and announce to everyone.

Check VC/AC/projector/computer/microphone/working status in advance.

Arrange biscuits/cold drinks/snacks/food according to the highest management plan.

Maintain 5S in conference room arrangement...etc.

6.Vendor management:

Local purchases such as consumables, employee uniforms, housekeeping materials and other small items,

7.Housekeeping Functions:

Walk around the factory every morning and start working to analyse and identify the necessary and unwanted items.

After the break and lunch time, the designated Housekeeping staff perform special duties and separate and store the items in order to reuse or dispose of the 5S work technology.

A list of items to be processed reused and repaired and submitted to management for approval.

Briefly describe complaints about walking with the entire housekeeping staff. It must also be attended by someone and needs to be closed before EOD.

The list of housekeeping materials must be updated daily, weekly and monthly, and the PR should be prepared according to the requirements of the current month.

Provide health and hygiene policies to employees throughout the housekeeping team.

Review cleanliness with the help of housekeeping supervisors and train for excellence.

Provide training for all housekeeping staff based on 5S cleaning standards.

Clean the restrooms according to appropriate clean chemical guidelines to ensure that Housekeeping employees use the appropriate chemicals.

Ensure that all waste collections are isolated and stored in accordance with the waste disposal policy.

Ensure the smooth running of accommodation facilities, including the safety and well-being of guests, staff tenants and residents
