Responsibilities

Client retention/recovery activities and book keeping.

Improve accuracy and efficiency of administrative procedures by detailing and prioritizing tasks.

Answer and direct phone calls and inquiries to the appropriate personnel or office.

Schedule and confirm meeting and appointment for staff members.

Prepare meeting agenda and record minutes of the meeting.

Control and manage all document processes such as payroll records, performance review and medical records.

Order office supplies, make inventories, raise purchase order (P. O.) so that procurement department can help restock used-up office supplies.

Act as a point of contact for staff members and stakeholders; manage their correspondence, communicate with internal and external stakeholders by providing them with performance report and current projects status.

Organize and maintain manual and computerized data filing system.

Manage and distribute all incoming and outgoing mails, parcels and shipments to all staff members; ensure these mails and parcels get to staff members on time so as to enable them to respond promptly and at the same time follow up and track all outgoing shipments to make sure they get to their destinations on time.

Raise Mission Order (an internal travel itinerary system in Total) for staff members that are travelling to the head office in France or visiting the rig (offshore)

Prepare, sort and send large volumes of bound documents to Total’s partners such as CNOOC, SAPETRO, SAIPEM and NNPC.

Assist and liaise with the finance department to help staff members make claims once they are back from their trip or mission.

Set up and facilitate meetings and conferences.

Prepare, key in, edit and proofread correspondence, invoices, publications, presentations, brochures and other related materials.

Achievements

My team and I initiated a concept called GOPSE which is an acronym for Go Paperless and Save the Environment. This initiative has helped my department and others to drastically cut down on the number of A4 and A3 printing papers usage. This has in return helped save huge amount of money that would have gone into purchase of printing papers, which is in alignment with the company’s 4C&D (Change Culture,Compete on Costs and Deliver )policy and has also helped in saving the environment.

The leverage from my computer skills as a graduate of computer science provided my team members with services such as installations of software programs on their work stations, maintenance and update of computer hardware and software, computer troubleshooting and solutions to computer issues.
