Attending Circulation Counter – Check-in, check-out, reservation

Major Tasks Involved:

Coordinating with the College Deans for textbook requests for their respective college.

Processing of Purchase Request; asking the suppliers for quotation, making comparison from all the suppliers for the cheapest price, asking for VPRA’s approval on the quantity of requested textbooks, preparing the purchase request form and working with the procurement office for LPO process.

Making sure that the textbooks are properly tagged for their corresponding course.

Keeping in contact with the suppliers to acquire and assure availability of new/ latest edition of textbooks for students.

Maintaining records for the current stocks and keeping it updated for new arrivals including books, CDs/DVDs, and etc.

Receiving textbooks order and making sure that the invoice will be given to FAD for payment process and for entering the received quantity in the system.

Assisting the Financial Affairs Department in Annual Inventory. General Task:

Selling books to students; entering the textbooks under their account.

Provides assistance to the faculty on how many are the physical stock of the textbooks we have for the course/courses they are teaching.

Doing monthly inventory/ sales report.

Provides the library latest editions of books for reference.

Updating the Deans and the Faculty about the updated quantity of textbooks.

Assistance with the preparation of Request for Quotation, Initiations to Bid, Requests for Proposal and co-ordination of their timely dispatch by email

• Assist the Associate Procurement Officer in maintaining current up to date Procurement Documents and Manuals

• Researching pricing obtaining quotes locally on low value items

Receive the approved requisitions by Director of the Office of Administration and process the appropriate documents procedures for local or oversea purchases/Services/ Contract.

Coordinate with requestors and make sure the right materials needed. Find out the sample of material to be purchased if necessary.

Provide purchased materials to the responsible receiving office and do all actions for completing the process.Updating the Deans and the Faculty about the updated quantity of textbooks.

Maintain appropriated records to ensure that procurement process, decision, and contractual agreement are accurately documented for accountability and audit purpose.
