Job Profile / Responsibilities
Talent Acquisition: Handling South Region
Receive duly filled & signed Manpower Requisition Form from HR Head.
Starts processing of staff requisition after analysis to fulfill vacant positions
Considering various factors like cost effectiveness, we use different tools of recruitments like Job Portals (Naukri.com), Employee Referrals and consultants & college campus.
Prepare short-listed resume summary and send to concerned HOD.
After receiving the feedback on resume summary, schedule the first round of interview along with concerned HOD.
Issue of offer letter in case of Final selection.
Regular updating of Recruitment Dash Board
Induction & Joining:
Welcoming the new employees to the organization and introducing them to various departments.
Explaining the organization’s policies and procedure.
Issuing Appointment letter and closing the joining formalities.
Responsible for sitting arrangement, opening of salary account, office email ID, creating employee code and ID Card.
Maintaining and updating personnel files of employees.
Employee’s confirmation management after successful completion of probation period. Time Office Management & Payroll Management:
Enrolment of new employee’s detail in Time Office Management System for managing attendance, leave, outdoor duties & other details.
Enrolment of employee code in punching machine for daily punching.
Approving the employee Out Door (OD), Leave, Compensatory off details through Time Office management system.
Downloading punches on daily basis for updates through server.
To maintain leave record and attendance of all employees.
On the daily basis of various inputs, final preparation of monthly complied report of attendance of employees.
To ensure timely preparation of salary with the help of Accounts Department. Training & Development:
Identify Training Needs / Skill Gaps through Competency Mapping, Appraisal feedback, skill matrix
Preparing the Annual Training Calendar & Monthly Training Plan and arrange internal trainer.
Organizing & coordinating training programs as per training plan and taking training feedback.
Analyzing & Evaluating the Post Training Effects through feedback in consultation with Trainer or HOD of respective department.
Taking care of the Induction Training of the new Joiner. Salary/ pay roll:
preparing the CTC breakup for the new engagements
Calculation & paying professional tax & labor welfare fund for employees.
Payroll calculation for employees with the help of ERP tools.
Attendance & leave management with the help of ERP tools.
Full &final settlement
Statutory compliance:
Shop and establishment act:
Liaison with government authority and processing all forms & documents for implementing shop act
Liaison with labour assistant for monthly audit in statutory compliance documents of employees.
P T Registration;
Register the new office in corporation of Chennai and generate the PT number and paying the employees professional tax
Labor welfare fund:
Register the new office in labor office and paying the employees labor welfare fund
&providing information & forms to the employees to utilize the labor welfare schemes P F & ESIC :
Generating Pf & Esic number for new employees and preparing the Pf& Esic Sheet for monthly remittance challans
Taking care of statutory employee benefits like Pf,Esi benefits and medical reimbursements
& medical claims & Pf clearance
Performance Management System (PMS) & Annual Increment:
Handling the confirmation Appraisal for employees who have completed their Probation period.
Rolling out Annual Appraisal Process by Issuing Appraisal Form to all department and keep coordination with all department head for duly filled appraisal forms of all employees after their grading.
Coordinating & consulting with the HOD’s regarding Employees Performances.
Preparing Employees Data & Increment Lists, sending the same to HOD’s and finally to the Management for approval.
Responsible to update salary on payroll software.
Making & Issuing Promotion Letters.
Employee Relations / Welfare Activities / Reward & Recognition:
Implementing Disciplinary Actions for minimizing violations of Rules & Regulations.
To maintain harmonious relationship between employees & employers.
To look after the grievances of employees and resolve them.
Member of safety committee and coordinate the meeting monthly in the organization.
Giving Greetings to the employees through Card, Email or SMS on the occasion of their Birthday & Marriage Anniversary.
Other Responsibilities:
Responsible for drafting various letters like Offer Letter, Appointment Letter, Confirmation Letter, Experience Letter, Promotion Letter etc.
Preparing salary break up of new joinees.
