Job Description:

Answering and directing phone calls to relevant staff.

Scheduling meetings and appointments.

Taking notes and minutes in meetings.

Ordering and taking stock of office supplies.

Being a point of contact for a range of staff and external stakeholders.

Preparing documents for meetings and business trips.

Processing and directing mail and incoming packages or deliveries.

Greeting and directing visitors and new staff to the organization.

Writing and issuing emails to teams and departments on behalf of teams or senior staff

Researching and booking travel arrangements for staff members

Finding ways to improve administrative processes

Provide Peer place, MS Word, Excel and Outlook support to staff.

Checking of incoming/outgoing transmittals for correctness, timely distribution of drawings/documents to PMT members and Inter departments for future action/information.

Controls issuance of document numbers, including maintenance of proper document registers.

Electronically scan and records documents as identified.

Project documentation and filing.

Dealing and coordinating with client and subcontractors in a good manner.

Ensure that the Filing is done as per established Filing Index and the company standard practices.

Ensure that all Latest revision of the Drawings/documents is available in-place with proper index at all the times.

Troubleshooting and maintain hardware of a System.

Troubleshooting and maintain local area network.
