NEW HIRE/TRANSFER OF SPONSORSHIP

1- Arrangement of accommodation and transport.

3- Coordination of personnel and safety Departments orientation. 4- For TOS, coordination for issuance of temporary Iqama if sponsorship is transferred already to ABV.

3. A- If re-contract for another year proceed with the following: 1- Help to PHO various Administration for Preparation of employment contract. 2- Updating of his contract period in Site Manpower List. 3. B. If not be re-contracted proceed with the following: 1- Receiving of Memo notice to employee and inform the employee. 2- Coordination with respective department to submit the required TLR. 3- Help to Various Administration at PHO for preparation of final settlement and related exit formalities such as COE, NOC, exit Clearance and inquiry regarding eligibility for re- hire.

4- Monitoring of vacation schedule (9-15 months Company Policy) and (21-27 months Company Policy).

5- Early vacation is mandatory to sign the new contract on or before leaving KSA for contractual leave.

6- Monitoring of approved Emergency leave at company paid ticket (death certificate is required to be in respective 201 files).

7- Monitoring of approved 4 days additional with pay for getting Married and Marriage Certificate should be submitted upon return from vacation leave and likewise required to be in respective 201 files.

TRAVEL

OUTGOING TRAVELERS

1- Circulation of travelers list by sending through emails on weekly basis to all concerns. 2- Checking with travel section regarding employee’s annual vacation/emergency & final exit.

3- Encoding of TLR details such as but not limited to: vacation period, route, flight details, ticket number, booking number and ticket amount.

4- Follow up booking confirmation and issuance of ticket/coordination with Travel Section in PHO.

5- Coordination and follow up with Visa Section for issuance of visa. 6- Collate and make photocopy of Visa, Ticket, Passport and computer booking print-out for file together with the TLR.

7- Release ticket, visa and other related documents to travelers. 8- Collection of Company ID, Medical Insurance Card and driving license (if any) in exchange of travel documents.

9- Photocopying of travel documents in 2 sets

10- Filing of TLR with attachment copy of visa and ticket, original copy to 201 file and photocopy to Travel box file.

INCOMING TRAVELERS

1. Releasing of Iqama, Company ID, Medical Insurance Card and Driving license (if any). 2. Sending Arrival Report of vacationist(s) upon return from vacation. 3. Monitoring and submitting report to Asian Section Head of vacationists who failed to return as per return flight schedule.

LOGISTIC

1- Arrange and coordination of transportation for incoming and outgoing travelers. 2- Arrange transport to and from respective Embassies for renewal of passport as well as collection of renewed passport.

PASSPORT/VISA
