HR Policy, Procedures & Compliance:
- Assist to HR Manager to creating & Implementing Different HR policies within all subsidiaries companies and monitoring those which implemented policies compliance by all the employees.
- Assist with Group HR Manager in Developing and amendment the HR policies in periodically and timely manner.
- Supporting to line manager for policy guidelines, Instruct to Employees, responding on any queries of policy and notify them while policy alignments and for various company business operational activities.
HR Information System:
- Maintaining the employment master list by using HR Information system (SAP) including all the employee information’s.
- Ensure that accurately updating the employee information in System time to time as per work life events.
Human Resource Planning:
- Coordinating with HR Manager in preparation of Human Resource planning process and implementation.
- Analyze the on the employee turnover report & Exceptional manpower require due to special business project.
- Responsible for preparation of Annual Manpower planning report at end of year based on HR Planning and implement those with necessary approval in organization.
Recruitment & Selection:
- Recruiting the employees from both locally & overseas for various position as per recruitment requirements for appoint the right candidates for right position based on Recruitment policy with approval of HR Manager.
- Dealing with recruitment agencies in order to make a proper recruitment form the overseas.
- Make various job Advertisements through the various recruitment sources during the new vacancy opening.
- Screening the candidate CV’s and matching those as per job analysis for shortlisting the suitable candidates.
- Make initial interview with candidates over the phone to get for additional information’s as per instructed.
- Schedule the interview for shortlisted candidate’s and notify them by mail interview timing as per instruction of HR Manager.
- Arrange & participate in interview for interview findings about the candidates during the interview and evaluate the candidate’s coordination with HR Manager.
- Select the suitable candidate by short listing with coordination of HR Manager and appoint the selected employee’s in particular position.
Job Analysis:
- Assisting to HR Manager with job analysis process for all the positions within companies.
- Providing support to HR Manager in Draft the Job description based on job duties & responsibilities and developing the JD based on employee’s position change.
- Coordinate with HR Manager for analysis of Job specification for the differential job categories based on recruitments.
Induction Program / On Boarding:
- Responsible for Provide the induction programs for newly joint employee’s (Company background, policies, Rules & Regulations).
Training & Development:
- Support to HR Manager for create training & Development plan and implement within all subsidiaries of companies.
- Arrange, Assign the newly joint employee’s for work related Trainings or testing and make sure they properly attending in training program and Maintaining Employee’s Training Records.
- Provide assistance to HR Manager in Conducting development program for new & existing employees during
(New systems, technology, equipment introduces).
Payroll, Compensation & Benefits:
- Assist to HR Manager for Planning, Coordination related to the Pay, Compensations, all Benefits & welfare and execute for Existing / new joining employees as per reward management policy.
- Giving suggestions to HR Manage for restructuring the pay, compensation & benefits of employees.
- Make Pay reviews, compensations & benefits during monthly pay salary, increments & Promotions of employee’s due to their work & performance.
- Preparation of Employment offer letter based on company pay scale cri teria, grades & benefits policy and send to HR Manager for final approval.
- Responsible for enrollment & Renewal of workmen compensation insurance (WCI) for all the employee’s at end of year and dealing with insurance companies in case of claim due to Employee injures & Death.
- Monitoring the payroll & finance department all the payroll processing for salary and make sure that salaries paying to the employee’s through WPS (Wages Protection System) as per Qatar Labor Law.
- Make sure with Payroll & finance department leave salary, end of service settlement and other benefits are settled to employees without any delay during their vacation & resignation or Termination as per company reward policy.
- Providing support additional to HR Manager for Planning, Developing and implementing incentive scheme
(Bonuses), which grands based on employment performance score.
Employment Welfare:
- Ensure that welfare provides to employee’s by providing good working condition for employee’s (work-life balance, facilities, Accommodation and good nature of work)
- Responsible for providing best Health & Safety to employees by giving safety equipment’s, Safety dress & safety guidelines and ensure that following-up under safety Rules & Regulations.
Leave Management:
- Responsible for preparation of all types of leave forms such as (Annual, Emergence, Discretionary and Etc.)
- Calculate the employment annual leave and updating the all types of leaves in SAP - ERP system.
- Sending to Payroll & Finance department process for salary after getting approval and place the leave application employee Personal file.
Business Support:
- Assisting to Business by providing such as (proper training & Development, Communication & management skill, Etc.) for customer service employees.
- Respond to the customer’s queries and provide the business support to the organization and customer services.
- Assisting to provide a range of employee’s for organizational business operations.
- Assis to obtaining the new projects/Business for organization with coordination of HR Manager.
- Implement business development policies for supporting the company’s business activities.
HR Management Report:
- Prepare the weekly report based on competed daily HR activities tasks and submit to HR Manager.
- Preparation of HR Monthly report based on collected HR Related information’s from the subsidiaries companies and submit to the HR Manager after verifications.
Performance Management / Appraisal:
- Assist to HR Manager to implement the performance appraisal program within all subsidiary’s companies annually.
- Conduct the performance appraisal for employees in each department of all subsidiaries companies by issuing PE forms and receive the all evaluated forms, verifying the all evaluated forms scored achieve by the employee’s.
- Prepare the Mater evaluation sheet and submit to the HR Manager for review as per evaluation results.
- Assist to HR Manager on the planning & actions related for evaluated employee’s (Training & development, Promotion, Salary increment and Transfer, Etc.) And monitoring the employee performance.
Employee Engagements:
- Assis to HR Manager for Implementing the Employee Engagement programs within companies as such Employee Recognition program, publishing the Employee’s achievements, inviting the employee’s, Get together and Treats, Etc.
- Proving more innovation ideas, support to HR Manager for carry-out Engagement activities and ensure that on-going process of engagement activities completed successfully.
Manpower Budget:
- Responsible for Prepare the Manpower Budget (Including all HR Expenses) at end of year as per instruction of HR Manager in order to forecast all the HR expenses of employee’s for next year including future manpower requirements and submit before deadline date.
Employee Grievance Handling:
- Dealing with Employee work related grievances issues providing the proper solution in timely manner by identifying the issues.
- Immediate respond to the employee upon received queries from the employees.
Employee Disciplinary:
- Received disciplinary cases of employment, prepare the report findings from the cases and submit to the HR Manager for investigate and take decision.
- Take a proper action against disciplinary cases of employees to prevent for repeat these offenses with coordination of HR Manager as per HR Policy & Qatar Labor Law.
- Providing suggestion, advices based on disciplinary case related employee’s for departmental vice under supervision of HR Manger.
- Maintaining all the disciplinary case record in HR Department with approval of line manager and place in Employee personal File.
Off boarding / Procedures:
- Responsible for preparation all documents (Resignation, Termination, Clearance and RP Cancellation) as require and submit to the Payroll & Finance department Resignation, Termination, Clearance) for processing of settlements after approval from HR Manager and ensure that full & final settlement completed.
- Responsible for Conduct the Exit interviews with Resignation employee’s for identify the reason for leaving from company, reduce the employee turnover and submit the summary of Exit interviews to HR Manager.
- Make separations for Resignation, Termination employees from the SAP-ERP system and HR Record and provide the separation information upon request from Manager.
General HR Accountabilities:
- Preparation of all HR related official application forms (Joining report, Leave form, Resignation, Disciplinary Action & Employment change notice, etc.) as per requirements.
- Draft the various Official correspondence, Internal Memoranda, Agreements and Certificates as per work daily requirements.
- Maintaining the Employee’s personal files, passport and HR Related official documents confidentially in the HR Custody.
- Maintaining in separate file system of all subsidiaries companies in HR Department (Employee related information)
- Maintaining all the departments separated files system (including departmental information’s) in HR Department and provide the relevant information’s upon request.
- Scheduling the meeting, arrangement for HR Meeting, attending with Manager.
- Assist with HR Manager for HR Related project (Training & Development, HR Strategy, Human Resource, Leadership, and HR Research) and make recommendation for implement these projects within the department.
- Assist to HR Manager for conduct the Employee Engagement program such as (Employee Recognition, Employee treat & Inviting the Employee’s &publish the employee achievements), Employee Motivational activities and Team building activities.
- Circulate the various information’s to HR & other department among all subsidiaries companies as per HR Manager Instruction.
- Renewal of employee’s QID and Health card in one month advance before expiry date as per coordination with PRO.
- Arranging for appointment of medical & finger for new employees and coordinate with PRO.
- Prepare the employment contract for new employee’s coordinate with PRO.
- Apply for D-Pay card for newly joint employees as per coordinate with payroll & finance departments.
- Collecting the time sheets from each section before end of every month and send to payroll & finance department for processing the payroll after verification and Preparing Master Time sheet, submit to HR manager for approval and maintain in HR Record.
- Monitoring the all employee’s attendances using bio metric system and properly maintaining the employee’s attendance report in HR Department Record.
- Making the various HR official agreements with other business partners and submit to HR Manager for approval.
- Arrangement of work visa new employee’s coordinate with PRO as per recruitments.
- Supporting to HR Manager on employee relation activities (Employment benefits & entitlements, rights, Employee engagement, Employment voice and Etc.)
- Assisting to HR Manager for conduct the important HR Project activities (Training & Developments, HR Strategy and leadership) and support to build the company’s performance.
General Administration Accountabilities:
- Supervise, coordinate with the employees for daily routine activities by providing instructions.
- Maintaining all the companies (business unit’s) vehicle master list in HR Department by receiving from the HR Teams in end of every month.
- Following with renewal of company Vehicles of the Isthimara’s (License) & Insurance renewal one month in advance as per company policy.
- Communicate & coordinate with other departments during the various business activities.
- Responsible for issuing of company vehicle to employee’s & get returning back from them based on company work purpose and using formal documents while vehicle issuing & returning process.
- Maintaining the Camp resident of summary list in Group HR Department which confirmed by all business HR Officer’s and camp boss.
- Responsible arrangement finance for various purpose with coordination of finance department.
- Monitoring & verifying the all purchase requests, Salary Advance Requests & Loan Requests of employee’s
- Following-up renewals of Company CR, Computer Card & Trade license one month in advance with coordination of PRO.
- Maintaining the records of companies Registration documents (CR, Computer card & Trade license)
- Arranging of business Trip along with visa process arrangement in line with coordination of embassies.
