Responsibilities:

• Registering of internal and external documents in Convero Document Control System and uploading to SharePoint.

• Process incoming and outgoing transmittal according to appropriate document management procedures, using the correct project information system.

• Maintaining a unique, sequential numbering system for all documents in accordance with Document Control Procedures and Client Project variations.

• All documentation, whether electronic or hard copy format, is processed in a controlled and systematic manner.

• Ensure proper document classification, revision control, document status, deliverable dates, and number of documents received and sent.

• Ensure documents issued for review or approval is monitored and returned in a timely manner.

• Communicate and Co-ordinate with Contractor Document Controllers.

• Control and report on services management and assigned project documentation using Convero.

• Independently handling multiple EPC Contractor Documents.

Responsibilities:

• Prepares document transmittals to Client and Subcontractors.

• Arrange meeting with the Clients and Subcontractors regarding the determination of our project requirements.

• Assist for making Project Final Dossier.

• Communicate relevant project information with Subcontractors and project team.

• Ensure that all the Subcontractors have valid Insurance Policies and follow- up with them.

• Request quotations from various Vendors for the requirement of project and effectively follow -up with them.

• Sending mails to all Subcontractors regarding the submission of Working Hour plan, Monthly Progress Invoice and Quotations before the due date.

• Coordinate with Subcontractors, site Engineers to ensure about daily progress.

• Submit the Working Progress Report to Client on a daily basis.

• Ensuring sequential numbering system in each and every outgoing correspondence.

• Incoming and outgoing letters to and from the Subcontractors and Clients and follow up for the response within the concerned departments.

• Ensuring quality formats being used adequately for correspondences, transmittals to Clients and Subcontractors.

• Ensure all the other departments for timely reply to the Subcontractors correspondences before the due date.

• Maintain documentation for projects under taken by Contracting Division making in use the project numbering system for easy traceability and proper filing (soft and hard copy).
