HR AND ADMINISTRATIVE ASSISTANT - Prime Projects International (Mar 2018 – Jan 2020)
ADMINISTRATIVE /FRONT DESK DUTIES
Answering and directing phone calls, taking messages when necessary
Scheduling and organizing meetings, both in and out of the office
Managing documents and files in an organized filing system
Operating a range of office equipment, including printers, fax machines, laminators, and copiers
Sending and receiving mail and packages
RECRUITMENT
Source and recruit candidates by using databases, social media etc
Screen candidates resumes and job applications
Conduct initial phone interviews and other relevant exams
Completing paperwork for new hires.
Providing recruitment reports to HR manager.
Preparing the offer letter and employment contracts for new hire staffs as per the manager’s request.
VISA, LABOUR CARD, EMIRATES ID APPLICATION PROCESSING (Daily)
Process new application, renewal application and cancellation of Residence Visa/EID and LC
Monitor and follow up results and release of Residence Visa Stamp, EID card, and eLabour card
DUBAI VISIT VISA / TOURIST APPLICATION
Applying Dubai Tourist / Visit Visa through GDRFA’s portal
STAFFS LEAVE AND MISCELLANEOUS REQUESTS
Verifying leave eligibility of staffs applying for vacation
Preparing all letter requests of employees and managers:
oSalary / Employment certificate
oTermination Letter
oNOC
PRE-EMPOYMENT MEDICAL SCREENING
Request for appointment for newly hired employees, and site staffs transiting in Dubai for medical rescreening
Coordinates with the Medical Providers/Clinics on medical results and documents
MANAGEMENT STAFF / SITE STAFFS
Assign employee number for new hire and rehire.
Encode new records for new hire management staffs on the Orion, by gathering the key data such as employee numbers, confirmed date of joining, pay information, bank details, personal information, passport details, and leave details.
TIMESHEET / ATTENDANCE
Update the attendance on the system for the approved annual leave, business leave, emergency leave, maternity leave, holiday, comp-off, and sick leave.
Keep a record of the original Sick Leave Certificate, with confidentiality.
Validate absences of each staffs, and advise them to apply annual leave on the portal if sick leave note was not secured.
Update the attendance for missed punch on a daily basis.
Coordinate with site admin for updating the daily attendance on the system every month end.
PASSPORT MONITORING
Maintain record of Passports, Visa, Labour Cards & Contracts and Emirates ID
Monitors expiry and requests of passports
FLIGHT BOOKINGS
Responsible for booking flights for staffs from home-country to Dubai for the new/rehire/vacation returnees; and booking outbound flights for site staffs.
Assist staff requesting for flight booking with travel agency using company ticket and/or deductions
Sends flight manifests for employees being deployed to site (Okinawa/Djibouti/Afghan/Bahrain)
E-COMMERCE COORDINATOR – Al Otaiba Communications (Nov 2016 – Mar 2018)
Responsible for all online activities
Manages online sales of products in Souq.com, Noon.com and Jadopado.com
Provide analytic reports of online sales
Processes orders and oversees cycle of order fulfillment
Coordinating with drivers for delivery schedules and routes to meet customer demand with little to no delay.
Responsible for making sure supplies, stock, materials, packages, and/or products are processed through the delivery and/or warehouse system efficiently and safely
Performed regular counts of stock levels.
