Duties and Responsibilities

Prepare of Monthly overseas purchase order for, in line with forward sales estimates

Ordering point of sales material from overseas suppliers for promotion use in on-trade and Retails

Follow up with oversee suppliers on shipment of orders placed and other business matter

Arranging shipping orders placed

Negotiate and approves shipping and freight quotes, considering price, transit time and services provided by the freight forwarders and shipping line.

Preparing shipping documents for customs clearance of goods destined for the domestic and duty free market.

Prepare insurance coverage for all orders placed, on a monthly basis.

Notifies the shipping line and the insurance company in case of short receipt or damaged of product that are noted by clearing agents.

Follow up with clearing agent s for clearance and delivery of goods.

Preparing of pre-order costing sheet for new items.

Confirm and approves product cost worksheet for each purchase order ascertain correct sales margin are maintained for both domestic and duty free market.

Verifies and approves oversea suppliers invoice for payment

Arranges for payment to overseas principals/suppliers as and when due as per the agreed payment terms

Attend the survey if the damaged goods as and when required by the surveyor of the insurance company

Filing of insurance claims with the insurance company for any damages

/shortages of goods

Recharges expenses to overseas suppliers, in line with approved brand building promotional activity expenses.

Prepare stock and sales order report to General Manger meeting with overseas suppliers

Report on slow moving and delisted product

Reports on short expiry products

Stock control for Domestic and Duty free Market and Daily Follow up with Head Store Keeper and Asst.Store keeper with regards to stock matters

Oversee the entire operations of the warehouse and Appraises performance of administration, warehouse.
