Role and Responsibility:-

Responsible for ensuring documentation is systematically managed using Electronic Document Management System (EDMS) in the SharePoint platform.

Managing documentation MOFC Projects complying DEL document control procedure.

Maintaining Engineering Document Control Register (EDR)/Vendor Document Control Register (VDR) for Control & Management of Documents/Drawings in Excel sheet. Also maintaining other associated registers as part of MOFC management.

Provide working copies and native files to the Contractor, Vendor and In-House Engineering to update and issue documents/drawings related to MOC.

Prepare Document Distribution Matrix from the Contractor’s Master Document Register (MDR) and maintain throughout the project. Ensure that this is updated on a monthly basis.

Issue/Receive Incoming/Outgoing Documents/Drawings in Controlled Manner, Initiate workflow review as per the Distribution Matrix for Documents/Drawings distribution.

Issue daily, weekly and monthly status reports. Keep good tracking of Pending drawings/documents and generate overdue status reports as required by the project and carry out follow-up action as required.

Uploading as-built documents/drawings in EDMS and updating master register.

Communication with Consultant /Contractor/Vendor regarding project documentation.

Manage all paper copies and electronic document workflows within MOFC project, and from / to contractors or vendors. Create and maintain document distribution matrix.

Maintaining and updating hard copy filing system.

Prepare transmittal for the outgoing drawings and documents for submission to vendor, consultant & at site.

Maintaining and update business process documentation related to MOFC like ESR (Engineering Service Request) & FMP (Facility Modification Proposal forms) and its associated review process .Maintain the associated registers and tracking of the forms.

Maintaining various Log Registers (ESR, FMP, Vendor Deliverables, Onshore/Offshore, and Scope of Work SOW).

Manage and issue document numbers and tag numbers upon request as part of MOFC project. Perform quality check prior to loading to EDMS.

Role and Responsibility:-

Set-up and established a Document Control Center as per the Project Procedure, Using Electronic Document Management System (EDMS) as per client requirement like Assai, Pro Con and Project Data Center software.

Preparing, Registering and updating all incoming and outgoing correspondence letter in excel sheet and Pro Con.

Support the head office management team in day to day duties throughout the project lifecycle from inception to completion including.

Manage and establish relationship of tag numbers and/or line numbers to each technical engineering drawing. – Check and manage engineering drawing relationship before loading it to Engineering Document Management System (EDMS).

Role and Responsibility of Project Administrator:-

Keep records filling of all sub-contractor offer letters and Maintain documents for Safety, QA/QC, labor qualifications, certifications and training.
